Department Description

The primary purpose of the Department of Psychology & Neuroscience is to provide excellent education, research and service in the field. This goal breaks down into four important components: 1) to teach psychology to undergraduates in a manner that will introduce them vigorously to its broad scope; 2) to offer scientific and professional training to graduate students in the areas of behavioral & integrative neuroscience, clinical, cognitive, developmental, quantitative, and social psychology; 3) to carry out cutting-edge research in these areas, and 4) to provide consulting and administrative support services to the science and profession of psychology as well as to the university, the community, the state, the region and the nation.

The Department consists of six programs: behavioral & integrative neuroscience; clinical psychology; cognitive psychology; developmental psychology; quantitative psychology, and social psychology. Each program is designed to acquaint the student thoroughly with the theoretical and research content of the specialty and to provide training in the research skills needed to become a competent and creative investigator. In addition, the programs focus on the development of appropriate professional skills.

The UNC Psychology Department Community Clinic (the Clinic) serves as an academic training facility for the clinical psychology doctoral program. The Clinic provides high quality and affordable psychological services to the triangle community and the UNC campus through specialty clinics for children, adolescents, and adults. The Clinic’s assessment and treatment services are designed to provide effective psychological care in a compassionate environment to members of the campus and local community. Services are provided by graduate students in our highly ranked doctoral program and on a limited basis by Licensed Psychologists, postdoctoral fellows, and social work graduate students.

Position Description

This position serves as the business operations and technology manager for the Community Clinic at both the Evergreen and Finley locations. As clinic business manager, this position serves in the following roles:

Operations Manager – Works with the clinic director to develop, implement, and oversee clinic administrative and operational policies and procedures including HIPAA compliant policies and procedures for client PHI to ensure confidentiality of data. Ensures all office equipment is operational, all needed supplies are on hand, and that both clinic sites operate smoothly and effectively.
Financial and Resource Manager – Manages and reconciles clinic accounts, works with the department business manager and clinic director to develop and monitor budgets, provides financial reporting, tracks and monitors multiple budget allocations.

Facilities Manager – Oversees the use of office and research space at two locations: the Evergreen Clinic (on-campus) and the Finley Clinic and research center (off-campus); manages maintenance and service requests, oversees renovations and improvements to clinic facilities. This position provides an office at the on campus Evergreen Clinic location and requires 6-8 hours per week at the off-campus Finley Clinic location on Finley Golf Course Road (approximately 2 miles from central campus).

Technology Manager – Works as a liaison with the department IT specialist to manage and provide on-site support for the technologies at each clinic, including those for research (general PC support, wi-fi, and conference room presentations) and those for the HIPAA compliant clinic work environment which includes custom configured PCs for webcam video recording and the Titanium client recordkeeping system. Manages billing and client payments through the Titanium system and reconciles to deposit records and campus financial systems. Depending on demonstrated knowledge, may assist in the administration of the Titanium database. Updates the clinic website as needed.

Minimum Education and Experience Requirements

Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Essential Skills, Knowledge and Abilities

Must have ability to learn and apply best practices in the operational, financial, and facilities management of a faculty/student psychological services practice. Ability to learn and apply state and federal rules and regulations, and agency/university policies governing personal health information (PHI) including HIPAA/HITECH. Ability to work closely with IT security experts to ensure the integrity of information systems and record-keeping systems, internal controls and data security.

Must have the ability to manage a program of moderate variety, complexity and scope, with multiple work groups including graduate students, faculty and department staff. Ability to exercise a high level of independent decision making and discretion. Ability to independently research and identify options in order to resolve or recommend solutions to unique situations and problems as well as to maintain discretion regarding confidential matters.

Excellent communication, and problem-solving skills along with a strong attention-to-detail is required to process transactions. Must be able to coordinate and manage a broad scope of work operations and to maintain flexibility in a fast-paced work environment. Must have the ability to work well independently and collaboratively as part of a team.

Preferred Qualifications

Experience in budgeting is preferred. Experience with university budget systems (Infoporte for monthly reconciliations; ConnectCarolina for posting deposits, journals, and vouchers) is also preferred.
