This position is responsible for assisting the Director of Human Resources/Career Services with the coordination of various functions of the department. The Human Resources Coordinator’s job entails providing guidance, support, and coordination in the consistent and effective application of policies, procedures, and practices of the Human Resources department. Primary areas of coordination are Employment Services – Faculty & Staff, Career Services, Employee Training, Monitoring of Human Resources Internal Controls, Data Analysis, Employee/Retiree Benefits, Website Management, Employee Recognition Program, and serves as a backup to the Human Resources Coordinator I.

Major Duties

•Assists Director in the coordination of employment activities to include review of People Admin postings for consistency with EGSC job descriptions; assists managers/supervisors with postings; coordinates with Human Resources Technician regarding posting status and workflow, recruitment efforts, documentation, reference checks, and filling positions in timely and efficient manner. Assists Director of Human Resources/Career Services with Affirmative Action efforts, employment and salary offerings, and People Admin Administration functions.
•Maintains faculty and staff job description database.
•In the absence of the Human Resources Technician, serves as backup to processing People Admin data entry, posting ads, and recruitment actions for faculty and staff positions.
•Attends job fairs as needed and maintains information on recruitment events.
•Conducts benefits counseling with employees and retirees; trains on how to enroll or make changes to benefits.
•Plans for and implements open enrollment events.
•Processes employee benefit claims.
•Monitors and updates benefit reports from SSC and PeopleSoft; communicates benefit changes to payroll, and if applicable to the Director of Human Resources, Human Resources Coordinator I, Human Resources Technician, and VP for Business Affairs; communicates to employees regarding benefits questions and enrollment periods.
•Coordinates, monitors, analyzes, and documents data to ensure ACA compliance. Report to Director of Human Resources, Payroll, and Budget of any potential concerns.
•Coordinates and updates all Human Resources and Career Services web pages, flyers, and brochures.
•Assists with IPEDS, AAUP, Great Colleges to Work For, census surveys, and other surveys as needed.
•Monitors Human Resources internal controls; conducts various audits on PeopleSoft system and other areas of Human Resources as assigned by the Director.
•Analyze data for survey reports, special reports, and departmental internal controls and audits. Runs queries as needed in PeopleSoft.
•Keeps tasks list up to date and completes tasks in an appropriate time period.
•Develops and maintains departmental, shared budgetary and payroll spreadsheets.
•Coordinates, develops, and conducts education and training programs for employees. Coordinates changes and updates in D2L with Director of Human Resources; and works with IT D2L administrator.
•Verifies all required trainings have been completed; notifies Director of any employees who are not in compliance; works with Human Resources Coordinator I and Human Resources Technician regarding D2L trainings and other trainings.
•Coordinates Employee Service Recognition Program yearly.
•Coordinates Career Services.
•Advises students and alumni regarding the key areas of career development: Assessing interests, exploring career options, becoming engaged, acquiring work experience, and developing job search skills.
•Organizes Career Fairs.
•Manages Symplicity CSM software and Focus 2 Career Planning software.
•Develops, sends notices and communication materials, flyers, brochures, etc. to students, alumni, and other members of EGSC community and external employers.
•Interacts and works with outside employers and organizations to develop resources for students, alumni, and employers.
•Coordinates, processes, and communicates the development of new opportunities for students and alumni through job shadowing, internships, cop-ops, clubs, and networking opportunities for students.
•Coordinates posting of outside employment opportunities for students and alumni.
•Coordinates workshops, seminars, etc. for Career Services with EGSC CAT’s classes and outside organizations; develops and performs coaching sessions for students and alumni.
•Requests regular feedback regarding events, services, and programs from students and other affected constituencies.
•Measures expected outcomes through online and paper surveys, obtain feedback from employers and EGSC advisory team.
•Maintains students and alumni Career Services records.
•Directs employees to SSC when appropriate; submits TIRS (tickets) to SSC for verification or investigations; challenges/investigates responses or processes as needed.
•Works with HR Coordinator I regarding EGSC internal student employment job postings in order to provide communication to students regarding employment opportunities.
•As needed, meets with candidates who are interviewing, provides overview of EGSC benefits, and escorts candidate to interview.
•Prepares termination paperwork; conducts exit interviews; notifies appropriate offices of terminations; reports separations through DOL website; retrieves EGSC property, coordinates with Human Resources Technician and other Human Resources Coordinator I regarding payroll activities and benefits.
•Travels to EGSC Statesboro and EGSC Augusta as assigned.
•As needed, assists with Human Resources Coordinator I duties to include: Employment Services for Students, Payroll, PeopleSoft System, Employee Leave, Personnel File Management, Workers’ Compensation, and Fleet Management and Motor Vehicle Use.
•Assists Director with other Human Resources functions upon request.
•Keeps Director informed of any problems or concerns.
•Performs other duties.

Supervisory Controls

The Director of Human Resources/Career Services assigns work in terms of very general instructions. The supervisor spot-checks completed work for compliance with procedures and the nature and propriety of the final results.


Guidelines include state and federal employment laws, college policies and procedures, and department policies. These guidelines require judgment, selection and interpretation in application.

Complexity/Scope of Work

•The work consists of varied administrative duties and coordination of primary functional areas. Strict regulations contribute to the complexity of the position.
•The purpose of this position is to assist the Director of Human Resources/Career Services with various functions of the department and to coordinate primary areas. Success in this position contributes to the efficiency, effectiveness, and regulatory compliance of all human resource operations.


•Contacts are typically with co-workers, other college personnel, students, alumni, job applicants, employers, and members of the general public.
•Contacts are typically to provide services; to give or exchange information; to resolve problems; to motivate or influence persons; or to justify, defend or negotiate matters.

Physical Demands

•The work is typically performed while sitting at a desk or table, or while intermittently sitting, standing, stooping, bending or crouching. The employee occasionally lifts light objects.
•The work is typically performed in an office.

Supervisory and Management Responsibility

•Assigns work in terms of general instructions to (1) HR Technician and Student Employee(s).

Minimum Qualifications

•Knowledge and level of competency commonly associated with the completion of a baccalaureate degree in a course of study related to the occupational field.
•Sufficient experience to understand the basic principles relevant to the major duties of the position usually associated with the completion of an apprenticeship/internship or having had a similar position for three or more years.
•Possession of or ability to readily obtain a valid driver’s license issued by the State of Georgia for the type of vehicle or equipment operated.

Preferred Qualifications

•Prior Human Resources and Career Services experience is preferred.
