Position Clerk Typist 2 Posting Number S00231 Employment Type Regular Status - Continuing Appointment Full Time or Part Time Full Time Campus Erie Office Department Northwest Alliance Contract or Position Start Date 06/01/2019 Job Summary/Basic Function

To ensure the smooth functioning of the Erie office in terms of general office processes, procedures, and procurement. The position will also provide key support to Erie-based medical case managers and assist in the delivery and tracking of various consumer services, the making and tracking of client referrals, triage of client requests, and the filing and tracking of client information in various databases. The successful candidate must be able to function in a dynamic and high stress environment and, be able to handle a multitude of competing priorities.

Establish effective working relationships with University service offices, other human service agencies and the general public.

Process all mail, incoming and outgoing.

Prepare and submit service request grants providing financial assistance to clients. Monitor status and enter service units into the appropriate databases.

Maintain databases monitoring results of outreach programs and assist in the recertification of client eligibility process used by clinical and case management staff.

Assist Coordinator of Consumer Services by scheduling housing inspections, assuring proper documentation is on file and preparing grants for rental assistance program.

Assist clinic staff with scheduling appointments for Erie and Warren clinics and reminding patients of their appointments. Provide documentation of calls.

Maintain logs recording distribution of bus tokens, distribution of grocery vouchers, and authorization for taxi rides to medical appointments.

Administer the use of a University Purchasing Card. Ensure proper use of the card, completion of the proper cost center forms, completion of the Purchasing Card Transaction Log and review and update of transactions in Paymentnet.

The successful candidate will be the primary point of contact for all client crisis calls during normal business hours. In this capacity, the successful candidate will be required to triage calls and determine the most appropriate staff member to redirect the call. Provide accurate information regarding: risk factors, health care facilities, testing locations, etc. Handle complete crisis call from HIV positive individuals when appropriate, documenting all pertinent information. Refer caller to staff, agency or hotline, as appropriate.

Purchase and track all office supplies for the Erie office.

Attend appropriate conferences and trainings.

Perform other duties as requested by the Executive Director and/or Supervisor of Medical Case Management which, may include gathering data from Erie client charts and electronic files, participate in monthly medical case management meetings, and update agency information on websites/social media or other marketing materials.

Participate in assigned quality management projects.

Protect consumer confidentiality, in accordance with HIPPA and PA Act 148 guidelines.

Develop an understanding and ability to work with diverse segments of the population.

Required Qualifications

.Six month of prior clerical experience or equivalent training such as a high school business curriculum or technical school.

Prior experience working with Microsoft Office Suite products.

Preferred Qualifications

Two or more years of professional office experience.

Experience in working with the public in a professional capacity.
