The University of Virginia School of Continuing and Professional Studies (SCPS) is currently seeking a Program Administrator, FBI National Academy to join their team, located in Quantico, Virginia. The SCPS serves adult learners by providing access to educational experiences that blend academic scholarship with workplace relevance. The Program Administrator, FBI National Academy collaborates and serves as a liaison in the provision of services to students, partner schools, external partners, and SCPS and University personnel.

Job Duties Include:

Student and Client Services:

  • Service Expectations:  Work as a team member to ensure high quality student and client services that grows an inquiry base that increases enrollments and revenue; able to imagine and be part of new customer service models that extend the current 8-5 business hours. Consistently maintains sensitivity ,awareness and compliance of University and SCPS policies and processes. Identifies gaps in processes and policies and recommends and implements solutions, including trouble-shooting and communicating best practices.
  • Collaboration: Collaborates and serves as a liaison in the provision of services to students, partner schools, external partners and SCPS and University personnel. Using student and program data, creatively identifies new programmatic opportunities.
  • Inquiries and Information Requests:  Responds to detailed and or individualized program information requests using University and SCPS systems. Provides information to students using appropriate system(s) and through running existing template or creating custom reports. Provides program information via multiple channels (e.g. phone, email, in person, etc.)
  • Accountable and reports to the program director. Completes duties in a timely, accurately and courteous manner.

Program Administration:

  • Works independently with program directors, developers and others in order to insure the effective delivery of educational programs. Provides support to faculty in order to prepare, execute and assess educational programs, classes, etc.  Makes recommendations related to improvement of program delivery and related business processes. Contributes effectively to program planning by reviewing student evaluation data.  Assists the program director with preparation of reports for the FBI management. Assists the program manager with class approvals and facilitate hiring processes for FBI identified instructors through preparation and tracking of credential packets to appropriate SCPS personnel and content liaisons at the University.
  • Monitors program trends and provides reports from systems of record to the program director on budgets, academic evaluations, enrollments, etc. and informs appropriate individual(s) on notable changes as they occur.
  • Assists in the planning and coordination of program activities including information sessions, orientations, etc. Supports on-site registration process. Ensures that class and student records are accurate and provides registration reports.
  • Financial  responsibilities:  Prepares monthly accounting reconciliation. In collaboration with the program director and Financial Operations staff recommends annual tuition rates for FBI and develops annual budget submission for SCPS. Prepares invoices for programs and works collaboratively with Financial Operations staff on billing through UVA financial systems.  Monitors financial activity and assists in preparing financial forecasts throughout the year.
  • Serves as a liaison to the staff of the National Academy (FBI).

Administrative:

  • Completes other duties and special projects as assigned by the Program Director in a timely, accurately and highly satisfactorily manner. This position may require some travel, primarily day trips within the Commonwealth, but occasional overnight travel may be required. Occasional work outside typical  M-F, 8-5 business hours is required. Must have the ability to work under deadlines, adapt to changing priorities and needs and work both individually and as a team member on routine operations and special projects

MINIMUM QUALIFICATIONS:

Education: Bachelor's Degree or relevant experience in higher education

Experience: At least three

of related and progressively more responsible or expansive work in program administration at a four-year college or university, or equivalent in higher education. Knowledge of adult learning theory and application in a training or educational setting.

Computer Applications:

Required:

  • Expertise with financial accounting software and/or student information systems
  • Proficiency in Microsoft Office suite

Preferred:

  • Proficiency with Oracle Finance and Student Information System, UBI, Workday, TravelUVA, Expense UVA

PHYSICAL DEMANDS

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require walking some distance to attend meetings, and programs.

Anticipated Hiring Range: $45,000-$50,000 Annually
