Job Description

POSITION OBJECTIVE

Reporting to the Facilities and Administration Manager at the School of Law, the Facilities and Building Coordinator will work efficiently to maintain the physical facility. The coordinator will make recommendations and provide support for improvements in the building, paint offices/spaces as needed and meeting rooms to improve the appearance of the building, move office furniture and pictures, and set up areas for general events. Working with minimal supervision, the coordinator will need to be aware of the daily physical and safety concerns of the School of Law and often recognize issues that need immediate attention and use proper judgment in solving problems that arise. This position will work with the Facilities and Administration Manager and the university Facilities Services Team to ensure communication exists between what is happening on campus and what is happening within the School of Law. When the scope of projects are a university initiative, the coordinator will work closely with the university team to ensure all law school functions are sustained throughout the duration of a project and if required, all impending interruptions are communicated back to the facilities and administration manager so that all affected parties are properly notified.

ESSENTIAL FUNCTIONS

    Responsible for the mailroom including processing and stamping outgoing mail and processing and delivering incoming mail, as well as boxes. Maintain an inventory of paper; order and distribute paper for copy machines and office use in the School of Law. Maintain repair log for all copy machines and on line work requests performed by facilities. Assist faculty and staff as needed with large copy projects on a preset scheduled basis. Perform light typing as needed. Identify and solve equipment problems as needed, i.e. fax machines, copy machines, telephones. Call for maintenance repairs when appropriate. Assist with equipment installations if necessary. Scan and shred confidential materials as requested by faculty. Distribute and retrieve telephone equipment upon order. 30%Responsible for walking and opening classrooms each day, ensuring classroom spaces are clean and presentable and classrooms are organized for classes, picking up any debris from the night before and working collaboratively with Custodial Services. Serve as law school contact for necessary repairs or emergency situations in the School of Law. Identify complex work assignments and notify proper department as necessary, e.g., facilities, security. Assists with space renovations and construction within the School of Law, separate from university projects. If a project is a university-sponsored initiative, work closely with the facilities and administration manager at the School of Law and the university team to ensure school functions are sustained and communication is provided to all affected parties. Communicate with university project managers reporting progress to the facilities and administration manager. 30%Prioritize work requests; hang pictures, assist Utech with computer moves and installation of keyboards, move empty file cabinets with the use of a dolly, rearrange office furniture and meeting rooms, etc. as directed, perform minor cleaning as needed, i.e., minor vacuuming when debris is tracked into the building, or minor cleaning of main windows. Assist with office relocations as directed; determine need for painting, carpeting, and furniture replacement and report to the facilities and administration manager the needs; coordinate the movement of computer and printer equipment and office furniture with either Utech or the central movers as needed and approved in advance. 20%Upon approval, coordinate with designated painters or central Facilities to handle the patching and painting of walls in offices, meeting rooms, classrooms and interior hallways as needed in the law school to maintain the building. 15%Responsible for the recycling program within the School of Law. Encourage employees to recycle and answer questions regarding the program. Coordinate pickup and delivery of recycle bins. 5%

NONESSENTIAL FUNCTIONS

    Assist with other school activities and functions as assigned, such as Commencement Weekend.May attend regularly scheduled facilities meetings with the facilities and administration manager.Run errands across campus for faculty and staff.May supervise student employees who assist with facility work such as setting up tables and chairs, or assisting with office moves. Perform other duties as assigned.

CONTACTS

Department: Daily contact with Manager of Facilities and Administration. Regular contact with various Deans at the law school, UTech, Security and all faculty, staff and students.

University: Regular contact with Facility Services. Network with Manager of Facilities and Administration as well as facility services to be able to get certain tasks accomplished.

External: Daily contact with vendors and visitors to the School of Law.

Students: Daily contact with law students and student employees.

SUPERVISORY RESPONSIBILITY

May supervise student employees who assist with facility work such as setting up tables and chairs, or assisting with office moves.

QUALIFICATIONS

Experience: 2 or more years of related experience.

Education/Licensing: High school education required.

WORKING CONDITIONS

Ability to climb ladders and work comfortably overhead. Heavy lifting up to 50 lbs. often required. Reach above shoulder, crawl, crouch and squat. Clerical work will require repetitive motion of computer mouse and keyboard to type. This is a part-time position with targeted working hours to be Monday through Friday from 7:30 a.m. to 12:30 p.m.
