The Departments of Anthropology, Interdisciplinary Centre for Health and Society (ICHS) and Sociology at the University of Toronto Scarborough consist of award-winning faculty who combine active and productive research programs with teaching innovation and excellence. Your opportunity:

In order to advance program objectives of the three Departments, we are recruiting for an Undergraduate Assistant who can demonstrate commitment to the success of the academic departments, and passion in student success by enhancing students' university experience in a culturally diverse environment.

You will provide administrative support to Faculty and programs by: advertising, preparing contracts and payroll forms for Teaching Assistants (TA), Course Instructors, Sessional Lecturers and Invigilators; ensuring mid-course reviews and evaluations are complete; hiring Invigilators for term tests and exams, collecting data and generating reports on TA wages, Instructor's stipends and course enrollment patterns.

In your role, you will also be a resource for students by providing general information on program requirements and making referrals on various student services. In particular, you will work closely with the Office of the Registrar and Student Services to ensure students receive adequate support and direction.

Your responsibilities will include:
  • Providing detailed information to students on program and/or course requirements
  • Coordinating the recruitment of teaching assistants, course instructors, sessional lecturers, invigilators and Casual USW staff (i.e. creating/posting advertisements, screening applicants, coordinating interviews, organizing and summarizing mid-course reviews and TA evaluations)
  • Verifying that provisions of applicable collective agreements and/or policies are applied appropriately
  • Preparing draft employment letters using templates
  • Determining logistical details and activities for events and/or programming
  • Updating and maintaining records (i.e. on TA and Stipend Instructor costs, annual cost summaries, justification for cost variances compared to previous years)
  • Generating reports (i.e. forecasting potential resource capacity, enrolment patterns, etc. for future course offerings)


CampusEssential Qualifications:
  • Advanced College Diploma (3 years) in Business Administration or an acceptable combination of equivalent education and experience.
  • Minimum two years related administrative experience in a student environment
  • Extensive knowledge and experience interpreting policies, procedures and collective agreements (e.g. Collective Agreements with Teaching Assistants, Course Instructors and Sessional Lecturers)
  • Experience working with a student information repository system (e.g. ROSI, ACORN)
  • Must be proficient in Microsoft Excel and Word, E-mail (e.g. Outlook) and utilizing the Internet
  • Must have an acute aptitude for numbers and ability to create and maintain spreadsheets containing a multitude of data (i.e. courses offered, enrolment numbers, costs, etc.)
  • Well developed interpersonal, communication and organizational skills in order to meet deadlines
  • Must be able to use tact and professionalism when dealing with Faculty, students, staff and the public
  • Ability to work with fine details
  • Ability to work under time constraints and workload pressures
  • Ability to manage conflicting priorities and deadlines with considerable interruptions
  • Must have initiative and be able to work effectively and efficiently independently and as part of a team
