Job Description Summary

Under general supervision, performs a variety of functions that assist staff with warehouse, administrative, and clerical support operations within Facilities & Campus Services (FCS).

Job Description

Essential Functions:

  • Provides excellent customer service support to staff and material providers through basic warehouse functions, including but not limited to, stock issues/picking, parts delivery/chasing, inventory management, and unloading/receiving of deliveries.
  • Adheres to University protocols of ordering and receipts of goods, including verification of pricing, receiving, and matching packing lists with invoices.
  • Helps monitor inventory levels, including cyclical or yearly count cycles. Reviews inventory items for reorder points or quantities and dead stock/obsolescence.
  • Assists FCS Support Services team with the collection and organization of multiple data sources and systems designed to meet the reporting requirement needs of the FCS Management. Analyzes and documents administrative business processes and needs to generate various reporting metrics on monthly, quarterly, and annual basis.
  • Partners with FCS departments and users to collect data from Utilities, Waste/Surplus, Fleet, Warehouse, Maintenance, Procurement, Construction, Project Management, and Financial Services. Assists in the development and ongoing maintenance of actionable reports for management and customers.
  • Assists with the update of data files required for year-end analytics and statistical audits.

Other Functions:

  • Serves as receiver and/or requisitioner via Work Day e-procurement business process for designated FCS requisition supply needs with heavy focus on select service provider partner invoices and contract compliance.
  • Examines office procedures and processes to ensure maximum efficiency and standardization of parts, and recommends improvements.
  • Supports other Facilities & Campus Services departments as needed for Project Management.
  • Provides assistance with replacement of F&CS staff uniforms and safety equipment, as needed.
  • Manages the booking of Facilities meeting spaces via Google and EMS event software, as needed.
  • Familiar with roles and responsibilities of other administrative support staff and backfills, as needed.
  • Considered an essential employee as designated in the Facilities Management Severe Weather Policy.

Required Education, Knowledge, Skills, Abilities:

  • High school diploma plus specialized training with two years related experience, or an equivalent combination of education and experience.  
  • Ability to decipher needs of maintenance technicians.
  • Knowledge and ability to research difficult to find maintenance parts.  
  • Excellent interpersonal, written, and oral communication skills. Ability to communicate with students, staff, peers, and management via forms of electronic media, phone, and face-to-face contact.
  • Ability to effectively interact with a variety of personality types; maintains a positive customer service attitude.
  • Knowledge in Facilities work management software, and/or e-procurement experience. Ability to adapt to new programs easily.
  • Ability to multi-task, meet deadlines, and work on multiple projects.
  • Ability to organize workflow and coordinate activities in high paced environment.
  • Ability to work in a team atmosphere.
  • Knowledge of Microsoft Office applications, with proficiency in Excel, Word, and PowerPoint.
  • Knowledge of internet and use of various browsers (Google, Safari, Firefox) and Google e-mail.
  • Knowledge of Work Day ERP System, or other e-Procurement systems preferred.
  • Ability to link multiple data sources or unique data elements to convert numerical information into graphical illustrations and/or management reports (Excel).
  • Ability to hold sensitive information in a confidential manner.

Preferred Education, Knowledge, Skills, Abilities:

  • Associate degree.
  • Experience in Facilities, Warehouse, Customer Service, or Business related areas.  

Accountabilities:

  • Responsible for own work.
