Under the direction of the Program Coordinator of Education Abroad, the incumbent will coordinate central office procedures for Education Abroad at the University of Connecticut. This position will serve as a first point of contact for Education Abroad’s many constituents, including students, parents, faculty, staff, overseas partners, and vendors; and support Education Abroad staff with proper maintenance of general office procedures.

DUTIES AND RESPONSIBILITIES

  • Manage central communications for Education Abroad, including answering the phone, responding to the Education Abroad email account, greeting visitors, handling mail, and overseeing social media accounts.
  • Respond to initial inquiries from students, parents, faculty, and others regarding program policies, procedures, and requirements, making referrals as appropriate.
  • Advise walk-in students, parents, faculty, and staff with basic questions about Education Abroad programming and processes.
  • Maintain consistent and accurate communications with university staff and external partners.
  • Assist the Education Abroad staff with various projects, including but not limited to transcript processing, grade conversion, and the credit alignment system.
  • Maintain expert understanding of university policies pertaining to Education Abroad, including the Student International Travel Policy, FERPA, Title IX, Clery Act, financial aid policies, and other regulations.
  • Confirm the eligibility of all Education Abroad participants with Community Standards and other campus offices.
  • Book reservations, rooms, catering, logistics, and supply orders for Education Abroad meetings and events.
  • Coordinate travel, schedules, meals, and logistics for campus visitors.
  • Write, edit, order, and distribute informational and promotional materials, online and in print.
  • Process and maintain necessary paperwork, records, and files to support Education Abroad, including academic, fiscal, and personnel records.
  • Assist with the creation of data reports, including enrollment and diversity information for Global Affairs, weekly advising statistics, and annual Open Doors reports.
  • Maintain the office’s collection of archived materials, resources, and program information.
  • Provide support for a variety of projects, administrative tasks, data reports, and promotional events, including application review, custom programs, visa processing, and other tasks.
  • Supervise and manage workflow of student employees.
  • Other duties as assigned.
MINIMUM QUALIFICATIONS

  1. Bachelor’s degree in international studies, languages, psychology, business, education, or related field; or equivalent combination of education and experience.
  2. At least one year of administrative or office experience.
  3. Strong administrative skills, with a proven ability to identify and resolve problems with critical, independent judgment.
  4. Strong interpersonal skills, with a proven ability to work effectively with multiple populations, such as students, staff, faculty, and external partners.
  5. Strong oral and written communication skills.

PREFERRED QUALIFICATIONS

  1. Experience with education abroad programming and working with students, parents, advisors, staff and faculty.
  2. Familiarity with FERPA and financial aid policies.
  3. Proficiency and experience with Terra Dotta, PeopleSoft, and Microsoft Office.

This is a full-time, annually renewable position for a term of three years.
