Job Title Senior Administrative Services Assistant Department Library Administration Position Summary

Gettysburg College seeks a full-time (37.5 hrs/wk) service-oriented Senior Administrative Assistant to work in the Library. This position performs a variety of administrative, technical, and clerical support services for the Dean of Musselman Library, serves as Office Manager for the Dean’s Office and works collegially with library staff and the campus community. We serve an increasingly diverse liberal arts community of 2,600 undergraduate students, including 20-25% first-generation college students and over 16% Pell Grant recipients. We seek to recruit and retain a diverse workforce to maintain the excellence of Gettysburg College, and to offer students varied perspectives and ways of learning.


Responsibilities include, but are not limited to: management of select budgets; overseeing library sales (publications, book sales) and funds associated with endowment gifts and donor contributions; reconciliation of monthly credit card transactions; calendar and scheduling support; editing and managing website content; preparing accurate written correspondence and mass communications; events planning for library events and programs including concerts, exhibitions, lectures, reading and discussion groups, film series and alumni related events; Friends of the Library support including bi-annual newsletter production (print and electronic), Honor with Books program, tracking donations, Friends correspondence; donor relations and stewardship activities including gift acknowledgments; responding to sensitive issues, questions and requests for confidential information; special projects including, but not limited to, online research, gathering and compiling information for use in special reports, grants, meetings and statistical surveys, both national and consortium level surveys; serving on multiple library committees.



•A high school diploma or equivalent is required; college degree is preferred.
•Experience (at least 3-5 years) in an office setting providing administrative support is highly desired; experience in a higher education setting or library preferred.
•Experience with event planning is essential.
•Excellent critical thinking and problem-solving skills.
•Ability to communicate verbally and in writing, including demonstrated cross-cultural competency in communications with diverse groups of students and colleagues.
•Knowledge of a variety of office practices and procedures, budget planning principles.
•Demonstrated skills in keyboarding, word processing, use of personal computer software programs and spreadsheet management.
•Ability work in a fast-paced environment, prioritize multiple work demands simultaneously, maintain a high level of accuracy, and meet deadlines.
•Ability to handle confidential information.
•Ability both to work independently and to work collaboratively in a dynamic environment.
•Strong service orientation and the ability to interact positively with students, faculty, and the public, as well as a commitment to participating in and building an inclusive, equitable and diverse campus community.

Hourly rate: $16.00-17.50 per hour, negotiable depending on experience.
