Preferred QualificationsPosition Summary

This new Accounting Assistant position reports to the Business Manager in Northwest District for UGA Cooperative Extension for a variety of specialized clerical accounting and bookkeeping functions. Activities and decisions are varied in nature, requiring independent action, excellent judgement, confidential treatment, and professional demeanor. This position is located on the Griffin Campus and will assist faculty and staff located in the Northwest District. Staff members are expected to demonstrate flexibility with scheduling to ensure the office will remain open and operational during normal business hours and to provide assistance to others to meet broader departmental needs.

Knowledge, Skills, Abilities and/or Competencies

Knowledge of UGA financial and budgeting practices, policies and procedures; knowledge of Sponsored Projects Administration. Demonstrated knowledge of accounting processes including payables, journal entries, and general ledger analysis and reconciliation. Prior budgetary and accounting experience and knowledge of generally accepted accounting principles (GAAP). Demonstrated knowledge of UGAMart, One USG Connect, OneSource payment, and reimbursement requests; knowledge of One Source journal entries and knowledge of Simpler. Knowledge of Microsoft Suite (Excel, Word, PowerPoint, Outlook). Ability to efficiently multi-task, handle interruptions and meet accounting deadlines. Ability to interpret data, analyze information and report to senior administration important fiscal matters. Excellent communication skills and strong organizational skills with emphasis on accuracy and attention to detail. Be dependable and work well independently. Ability to work effectively as part of a team and collaborate with staff and faculty.

• Initiate departmental payment and reimbursement requests via UGA’s Financial Management System; Serve as a backup with initiating purchase requisitions ensuring adequate and appropriate funding is available.
• Examine payment and reimbursement documentation for accuracy and compliance with UGA policies and procedures.
• Serve as the primary resource to departmental faculty in resolving issues with purchase and reimbursement requests and with UGA Financial Policies and Procedures; Assists faculty with questions related to account activity.
• Provide daily assistance to the department Business Manager in resolving problems, implementing new policies, preparing journal entries and other duties, as needed, including back up of some business manager duties.

• Keep the department Business Manager and office personnel informed of issues related to the departmental financial activities.
• Prepare general ledger entries for all department accounts. Follows up with Accounting, Accounts Payable, Sponsored Projects Administration and other units to resolve financial issues.
• Assist in preparing financial and statistical data to aid Business Manager in departmental budget-related activities.
• Assist with training of employees in the department with OneSource and OneUSG Connect, as needed.
• Assist the District HR Liaison with on-boarding of new employees

• Serve as the back-up to the department’s Business Manager.
• Attend financial staff, departmental faculty/staff, and College-wide meetings and complete College’s financial tasks as assigned.
• Attend Training and Development classes and/or webinars to improve skills and keep abreast of new and changing policies and procedures relating to accounting, budgets, sponsored programs, and other University policies and procedures.
