Duties

The Continuing Education Program Manager will provide project management direction and support for all continuing dental education programs offered by Penn Dental Medicine Office of Global Affairs & Continuing Dental Education. The Continuing Education Program Manager will report directly to the Director, Office of Global Affairs & Continuing Dental Education.

The Continuing Education Program Manager will oversee all planning and implementation for assigned credit and non-credit continuing education programs which includes but is not limited to: publicity (print, mail and online formats), venue selection, accommodations, catering, staffing as required, registration and payments, exhibitor/sponsorship, conference program and giveaways, audio visual coordination, transportation and social events; during program delivery, serve as on-site owner to ensure that all details are carried out correctly; work with service providers to ensure high quality of program operations; coordinates guest speaker travel, accommodations, payment off expenses and honoraria in compliance with University Policies and Procedures; communicate with participants and sponsors providing commercial support with instructions and information concerning their participation; develop program webpages for use in distributing program information including logistics and materials; manages program expenses to the established budget for each course/conference including negotiating with suppliers to provide cost-effective services; manages accounts payable and receivables; manages budgets as required by entities providing commercial support of courses/conferences.

The Continuing Education Program Manager will manage course/conference documentation processes to ensure compliance with ADA CERP criteria including but not limited to: needs assessment of professional needs and interests, educational objectives, evaluation/assessment of course content, instructor effectiveness and administration, ensure educational material and instructors are independent of commercial interest, ensure commercial support is compliant with ADA CERP standards, standards of other governing bodies if offering multiple types of continuing education credits (i.e., continuing medical education credits) and University Policy; direct all program compliance and records management efforts to ensure alignment with State Board of Dentistry licensing and continuing education requirements where Penn Dental Medicine offers continuing dental education; provide support in maintaining ADA CERP recognition status with the American Dental Association every four years.

The Continuing Education Program Manager will manage the international student and faculty exchange program including but not limited to: administration of the application process, maintaining central calendar for international visitors, coordinating compliance with required immunizations for clinic shadowing, develop rotation schedule with all clinical departments.

Qualifications

A Bachelor’s Degree with 3 to 5 years of experience in event and conference planning and customer facing roles or equivalent combination of education and experience is required. Ability to prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner. Experience in University enterprise systems are preferred. Must have advanced skills in MS Office Suite of products. Must adapt to new technologies. Ability to use tact, diplomacy and maintain a high level of confidentiality. Strong writing and verbal communication skills required. Excellent interpersonal skills with diverse groups and individuals at all organizational levels, both inside and outside of the University. Excellent problem-solving skills. Strong commitment to teamwork. Service-oriented, with ability to maintain a pleasant and helpful attitude.
