School/Center Overview

The Office of the Provost provides direction on all facets of the University’s academic mission, including education, faculty, research, online learning, global initiatives, admissions, athletics, student life, and arts and culture. The Provost’s Center aggregates programs and offices designed to support University operations, including: the Office of the Provost, the Office of the Vice Provost for Research and its reporting departments (Penn Center for Innovation, Environmental Health and Radiation Safety, University Laboratory Animal Resources, and Regulatory Affairs), the Office of the Chaplain, the Graduate Student Center and Family Resource Center, the Division of Recreation and Intercollegiate Athletics, College Houses and Academic Services, New Student Orientation, the Office of Student Conduct, the Center for Undergraduate Research and Fellowships, the Office of Undergraduate Admissions, the University of Pennsylvania Press, and all of the University’s arts organizations (Penn Museum, Institute of Contemporary Art, Annenberg Center for the Performing Arts, Arthur Ross Gallery, and University Art Collection). Duties

Reporting to the Director of Operations, the Associate Director, Operations will oversee the day to day development and maintenance of the Office of Undergraduate Admissions’ information management systems.

Primary Responsibilities:

Manage data integrations between Technolutions Slate (CRM) and various external data integration sources including the Common Application, Coalition Application, QuestBridge, College Board, ACT. Manage data integrations between Technolutions Slate (CRM) and internal data integration sources including Student Financial Services, University Registrar, University Data Warehouse, and Information Systems & Computing.

Oversee data accuracy and integrity within the Slate system through use of audit and reporting tools.

Develop and maintain documentation regarding the use of Technolutions Slate for users within the Office of Undergraduate Admissions and cross-campus partners. Provide training and technical support to Slate users.

Produce and maintain reports and dashboards for office leadership and cross-campus partners.

Assist with annual admissions cycle preparation including review of application process updates and changes, data and document retention.

Manage multiple staff members, with an emphasis on increasing Slate facility among direct reports.

Assist with ongoing projects within the office for optimization of marketing, recruitment, evaluation, and yield initiatives using Slate and other management systems.

Identify opportunities for deployment of Slate for improved efficiency and new functionality across the work of the office.

Qualifications

A Bachelor’s Degree required with two to four years of experience managing a database or customer relationship management (CRM) system, preferably Technolutions Slate or equivalent combination of education and experience.
Knowledge of SQL, HTML, XML required. Experience with data visualization tools (ex. Tableau, Power BI) preferred.
Experience successfully managing multiple simultaneous projects. Experience managing people strongly preferred.
Strong oral and written communication skills a must and the ability to work with highly sensitive and confidential data.
