Duties

Under the supervision of the Manager of Grants and Contracts, this individual will be the primary point of contact for all CSAM grant submissions to federal, non-federal and industry sponsors including Clinical Trials within the VCIC. He/she will provide technical, logistical, and administrative support to PIs and other research personnel in the preparation, review and submission of proposals in accordance with University and Sponsor policies. This individual will: act as liaison with Faculty, Research Services and Penn Center for Innovation; enter Sponsored Research Agreements, Master Service Agreements, NDA’s, NMTA and subcontracts in RIS System; provides Just in Time (JIT) information for NIH funded projects; oversight of PHS/FITS certifications process; responsible for setting up Core Facilities service accounts such as DNA Sequencing, Cell Center, Flow Cytometry, etc.; processing manual journal entries to resolve wayward and suspense transactions; collaborates with the Grants Manager in following up with sponsors and institutions regarding invoice tracking, outstanding payments, etc; responsible for Polaris requisition approvals, cage transfers, etc.

In addition, this role will collaborate with the Grants Manager to manage the PennVet Working Dog Center’s financial and grant operations. This individual will allocate and reconcile a large volume of Procard transactions; approve purchase orders and non-PO vendor payments; deposit non-gift revenue to proper accounts; processes payroll allocations and transactions for WDC staff; will utilize Business Objects to generate monthly reports to review and track income & expenses for various accounts.

Under the direction of the Grants Manager, special projects and other duties will be assigned on an ad hoc basis.

Qualifications

Bachelor’s degree required, preferably in accounting/business administration with 3 to 5 years of experience or an equivalent combination of education and experience is required. Strong background in Pre-award activities (submitting NIH grant submissions required). Proficient in MS Office (Excel, Word, etc.) Strong organizational skills with attention to detail. Good communication and interpersonal skills; ability to work independently, establish priorities and set/meet deadlines. Capable of handling multiple tasks simultaneously in a complex financial and administrative environment, while maintaining flexibility. Knowledge of University financial policies and procedures and experience with University systems including PennERA, Business Objects, Ben Financials, Polaris and Pennworks is strongly preferred. Experience with NIH and other federal granting agencies is required as well as a working knowledge of Uniform Guidance.
