Overview

Reporting to the Dean of Admission, the finance and administration manager supports the Dean and Director in reaching departmental and University goals and objectives. The two most important responsibilities of this position are financial management and office administration. The role requires overtime and weekend work during peak periods.

Responsibilities
  • Financial responsibilities include budget preparation, record keeping, ledger reconciliation, fund management, financial transactions processing including journal entries and reporting as well as coordination of the forecasting of major budget lines and collaboration with the central ODOC finance team on long-range projections.
  • The finance and administration manager leads the day-to-day administration and operations of the Undergraduate Admission Office ensuring effective and efficient operations. This includes: managing the back-end flow of the student application process (approximately 35,000 applications annually); directly supervising administrative support personnel including 12 full-time employees and temporary staff members; hiring, training, and mentoring staff; conducting annual performance reviews for supervisees; working with employment agencies to hire casual employees; and coordinating a variety of special projects as assigned by the Dean or Director.
  • Ensures the accuracy and timeliness of all student mailings, and shares responsibility with the Director and IT Manager for the management of office communications including, but not limited to, materials for prospective students, email notifications, and decision letters.
  • Serves as liaison to Office of the Dean of the College units and campus departments; liaises with University support units and outside agencies to manage facilities work for Admission and significant annual events; ensures timely resolution of event-related issues.
  • Liaises with Human Resources office about policies and procedures and, as needed, handles personnel issues in concert with the Dean and Director as they arise.
  • Coordinate high-level meetings and assist with special projects as assigned by the Dean or Director; other duties as assigned.
  • The manager must maintain confidentiality at all times and ensure that direct reports maintain confidentiality.

The position balances a significant workload, including managing emerging challenges while maintaining everyday responsibilities. The manager should anticipate the needs of the Admission office and exercise autonomy for a number of complex tasks. Success in the role will require a collaborative working style with a varied group of individuals, an ability to manage numerous projects effectively, and a thorough knowledge of the University’s administrative systems and offices. Overtime and weekend work are required during peek periods.

 

 

Qualifications
  • Bachelor’s degree with 7 to 9 years’ experience in progressively responsible business positions involving operational management, control, and budget
  • Broad-based knowledge of office management, general administration, and supervision
  • Inclusive and timely decision-making with an ability to gather and absorb complex details and exercise sound judgement
  • Excellent communication and interpersonal skills with the ability to work well in a team environment and foster effective working relationships
  • Excellent organizational and time management skills with the ability to multitask in a fast-paced, deadline-driven environment
  • Meticulous attention to detail and accuracy in matters of proofreading, document processing, and relaying messages
  • Discretion, tact, diplomacy, patience, and respect for colleagues
  • Proficiency with Microsoft Office Applications including Word and Excel required
  • Ability to learn computer-based systems quickly
  • Resourcefulness, initiative, and motivation
  • Prior experience with PeopleSoft Student Administration System and Slate preferred
  • Willingness to learn and accept constructive feedback
