Overview

Reporting to the manager of administration in the Office of the Dean of Undergraduate Students (ODUS), the judicial coordinator/administrative assistant serves as assistant to two associate deans and one assistant dean. The primary substantive area under the judicial coordinator’s organizational purview is student conduct. ODUS processes an average of 350 disciplinary cases annually, with approximately ten active cases under consideration by the Residential College Disciplinary Board (RCDB) and the Faculty-Student Committee on Discipline (COD) at any given time. The judicial coordinator tracks all case files, monitors the progress of cases, uploads and maintains electronic files and record keeping, tracks and distributes Public Safety reports and other documents, and will often be asked to reference past and current cases in assisting the deans. Additionally, the judicial coordinator handles all scheduling and document preparation for the COD, serves as secretary for RCDB, and provides technical and procedural expertise and support regarding record keeping systems, policies and procedures for deans in ODUS and residential college staff, specifically the Directors of Student Life.

This key position requires a high level of discretion as regards students’ confidential disciplinary records, and the ability to respond in a tactful and sensitive manner to a variety of situations involving students in crises, as well as other tasks as required by the department. The judicial coordinator will occasionally communicate directly with students.

The key characteristics of the judicial coordinator are initiative, attention to detail, time management, analytical reasoning, the ability to cultivate a thorough knowledge of all current disciplinary, student crisis, and residential education matters, and the ability to communicate well with students.



Responsibilities

Supports the discipline processes for the COD, RCDB, and HC and uploads all Title IX cases into StuCon:

  • RCDB: Manages each case from initial notification of a violation through adjudication and tracks all outcomes, uploads into StuCon, and follows-up with any deans or Directors of Student Life regarding any delayed cases.
  • COD: Tracks each case through the investigative process, hearing, and possible appeal, assisting the deans in ensuring that each case progresses consistently to resolution.
  • Honor Committee: Provides administrative support to Honor Committee chair and ensures proper record keeping practices of ongoing cases.
  • Title IX: Uploads all Title IX cases into StuCon and ensures accuracy.
  • Gather, organize, and analyze information and data and assist in the development of year-end reports.
The position includes financial responsibilities, in that the judicial coordinator tracks and manages Prime financials for approved requests of the Dean’s Emergency Fund, and for spending in relation to Residential College Advisor (RCA) training, both of which are overseen by the associate dean. The judicial coordinator also tracks and reconciles the deans’ professional development and other associated expenses in Concur.

The judicial coordinator provides logistical support for training and educational initiatives of the student-run Honor Committee and the RCA program, scheduling and providing logistical organization for fall and spring RCA training, and components of the First Year Residential Experience program.

Organizes and maintains the dean-on-call schedule for emergency response.

As a member of the support staff team, the judicial coordinator provides general office support for ODUS.

Qualifications

    Availability for evening meetings of the Committee on Discipline (approximately 15-20 evenings during the academic year);Proficiency in the Microsoft Office Suite including Word, Excel, Access, and Outlook;Strong organizational skills with great attention to accuracy and detail;Strong time management skills and ability to meet deadlines;Strong analytical skills;Ability to take initiative and think on one’s feet to solve problems;Ability to work with tact, discretion and confidentiality;Ability to work independently and as a team member;Ability to set priorities for a wide range of tasks and deadlines;Ability to approach hectic situations with a positive attitude and a “roll-with-it” mindset;Flexibility to switch tasks frequently in a busy office;Use/knowledge of PeopleSoft and SharePoint;Ability to work collegially with other departments such as residential colleges, academic departments, the Department of Public Safety, Counseling and Psychological Services, the Registrar’s Office, Office of the Vice President and Secretary on a near-daily basis, and others on a less frequent basis;Interpersonal and communication skills: must have amiable, engaging, helpful attitude, especially with respect to students;Bachelor’s Degree;Minimum of 1 - 3 years of work experience in a professional setting.
