Program Assistant - Library
Big Bend Community College invites applications for a Program Assistant position in the college's Library. Under general supervision, this position performs secretarial and clerical duties in support of the areas managed by the Director of Library Resources and eLearning or assigned by the Dean of Transitional Studies. Following college developed processes and procedures, the position manages purchasing and travel related processes, contracts of various types, tracks budgets, and assists with vendor relations. This includes tracking related processes and keeping organized documentation utilizing the software and online systems implemented by the college, the library, and Transitional Studies.
This is a "front line" position in the William C. Bonaudi Library where assisting patrons by providing library services frequently interrupts other work so a customer first attitude and excellent people skills are required. This position also routinely works with potentially sensitive user and staff related data so strict confidentiality must be maintained.
This position reports to the Director of Library Resources and eLearning and may be assigned work by the Dean of Transitional Studies.
BBCC is a small rural community college located in the sunny, central part of Washington State, and is accredited by the Northwest Commission on Colleges and Universities. Primary essential duties and responsibilities include but will not be limited to the following:
- Cover the library's service desks as scheduled or as needed. This includes possible evening and weekend hours and assisting with opening and/or closing the library.
- Provide basic circulation and reference services, create and update ID cards, and assist users with login, printing, and application issues.
- Serve as the primary contact person for purchasing, billing, tracking, refunds and returns, related to agreement/memberships and acquired or subscription services and resources.
- Perform work related to staff, vendor, and other contracts including creating requests and tracking them.
- Assist with developing and managing budgets.
- Assist with travel related planning, booking, and preparation and management of related documentation.
- Order and ensure adequate access to office and library oriented equipment and supplies. This includes working with vendors to repair and maintain printers, copiers, and ID equipment and other related resources and equipment.
- Assist with the production of reports and completion of surveys.
- Serve as the primary person working with the college's Business Office – reporting financial transactions, funds related to PaperCut, library fines and fees, ID related fees, etc.
- Manage scheduling and rental of library rooms and equipment, including signage, requesting technical support and assisting with catering needs.
- Collect data and necessary documentation and maintain a filing system that is accurate, up-to-date, and provides easily retrievable information in an appropriate format.
- Serve as the primary person managing the library's phone system; answering and routing calls, and updating messages on the system.
- Serve as a back-up to the Administrative Assistant 2 for Basic Education for Adults (BEdA) and assist with ensuring the data in the administrative systems in that area (WABERS and CASAS) is accurate and updated and to assist others in their use of those systems.
- Maintain professional growth and development through seminars, workshops and professional affiliations to keep abreast of latest trends in field of expertise.
- Ensure no injuries to self or others by following safe work practices and policies. This includes, but is not limited to: security and safety, understanding of safety data sheets (SDS), equipment, fire, disaster, safe lifting and body mechanics.
- Ensure compliance with college policies and procedures and state and federal regulations.
- Conduct self in a professional manner and ensures the interaction with team members and other support groups is conducted in a courteous and efficient manner conducive to the college's values.
- Perform related duties and responsibilities as may be required.
- Experience providing services to and working with the public.
- Proficiency with Microsoft Office Suite, especially Word, Excel, and Outlook.
- Experience organizing tasks and responsibilities with multiple priorities and deadlines.
- The ability to effectively communicate with students, staff, visitors, and community partners both verbally and in writing. Experience with proofreading is preferred.
- Demonstrated competency in the ability to provide service in a multicultural environment.
- Create and manage a student-friendly environment.
- Learn and adapt in the midst of new or shifting priorities with a "can-do" solutions-oriented approach to learning and problem solving.
- Provide services to diverse populations including academic, socioeconomic, age, cultural, disability, and ethnic backgrounds; keeping an open mind to opportunities for all.
- Work independently and reliably. Regular and consistent attendance is expected and required.
- Prioritize multiple competing priorities and deadlines as well as frequent interruptions.
- Work with minimal supervision outside of a formalized, central office setting.

This is a 40 hour per week position. The primary work schedule is M-Th 7:30am-4:30pm and 7:30am-2:00pm on Fridays. The work schedule may include an evening shift of 12:30-9:00pm Mon.-Thursday and/or occasional Saturdays (noon-6pm) to meet the needs of the department.
The nature of library work requires staff to go from sitting to standing and walking frequently during the shift. Standard duties require long periods of sitting or standing at a computer and answering the phone. Basic Reference service, averaging an hour daily, requires sitting at a computer, working with students at public computers, and helping retrieve items from the collections, which may require bending and reaching overhead. Service desk work is also a daily part of this position standing while ID cards or checking out items including laptops, normally lasting no more than an hour. Physical activities may also occasionally include shelving library materials which requires pulling items from a cart and placing them on shelves that may be from floor level to overhead. Shelving activities usually last no more than an hour.
Minimum & Desirable Qualifications
At the time of application, all candidates must posses the following:
- High school graduate/equivalent and two years of full-time clerical experience OR an equivalent combination of education and relevant work experience.
- Experience using Microsoft Office products - Outlook, Word, Excel in a professional setting.
- Experience performing clerical work in a professional and/or educational setting.
- Experience working with individuals from diverse academic, socioeconomic, age, cultural, disability, and ethnic backgrounds.
- Associates degree from a regionally accredited institution.
- Experience working in a library.
- Experience using Google productivity applications.
- Bilingual English/Spanish or Russian/Ukrainian proficiency.
