Position Summary

Big Bend Community College invites applications for a Program Assistant position in the college's Maintenance & Operations (M&O) Department. Under general supervision, this position will independently perform a variety of complex clerical projects and assignments supporting the M&O Department.  Responsibilities include but are not limited to:  preparing reports, preparing, reviewing, verifying, and processing fiscal documents and/or financial records; compiling correspondence such as transmittals and responses to frequent requests for information, establishing manual or electronic recordkeeping /filing systems and/or database files.  Responds to inquiries requiring substantive knowledge of M&O policies and procedures. 
This position reports to the Director of Facilities and Capital Projects. 

BBCC is a small rural community college located in the sunny, central part of Washington State, and is accredited by the Northwest Commission on Colleges and Universities.  Big Bend Community College serves approximately 4,000 students, with an annualized FTE of approximately 2,000, in a 4,600-square-mile service district including 15 communities in Grant and Adams counties and the Odessa School District in Lincoln County with on-site, online instruction, and interactive classrooms.

Essential Job Duties

Primary essential duties and responsibilities include but will not be limited to the following:

  • Answer phones and greet employees and visitors to the M&O offices.  Resolve problems and respond to inquiries regarding rules, regulations, policies, department procedures, and services.
  • Review documents, records, contracts, or applications for completeness, accuracy, and compliance with rules; determine and explain action necessary to achieve compliance or approval.
  • Create, monitor, and close out work orders for M&O staff.
  • Compose office correspondence such as requests for documentation and responses to requests for information; update forms for internal use.
  • Review and verify fiscal reports for accuracy; investigate and correct errors to ensure compliance with established procedures and policies; use basic arithmetic to perform computations.
  • Prepare or assist in the preparation, compilation, and coordination of reports and records. Establish and maintain complex electronic or manual file systems or data base files.
  • Compile and produce material requiring specialized knowledge and judgment in selection and treatment of data and format; prepare flyers, posters, tables, charts, and graphs as required.
  • Perform complex word processing tasks such as merging and sorting, integrating text with graphics, spreadsheet, and database files, uploading/downloading, and creating footnotes and outlines; use spreadsheet and database software to develop and maintain records.
  • Order, receive and maintain inventory.


  • Maintain professional growth and development through seminars, workshops and professional affiliations to keep abreast of latest trends in field of expertise.
  • Ensure no injuries to self or others by following safe work practices and policies.  This includes, but is not limited to security and safety, understanding of safety data sheets (SDS), equipment, fire, disaster, safe lifting and body mechanics.
  • Ensure compliance with college policies and procedures and state and federal regulations. 
  • Conduct self in a professional manner and ensure the interaction with team members and other support groups is conducted in a courteous and efficient manner conducive to the college's values.
  • Perform related duties and responsibilities as may be required. 


  • Experience providing services to and working with the public.
  • Proficiency with Microsoft Office Suite, especially Word, Excel, and Outlook.
  • Experience organizing tasks and responsibilities with multiple priorities and deadlines.
  • The ability to communicate effectively with students, staff, visitors, and community partners both verbally and in writing. Experience with proofreading is preferred.
  • Demonstrated competency in the ability to provide service in a multicultural environment.


  • Critical thinking skills: Seeks resources for direction, when necessary. Perform independent and creative problem solving.  Decision-making is logical and deliberate.
  • Organize daily work and prioritize tasks; keep track of information or work in progress, ensuring accuracy, handling interruptions effectively, and meet competing deadlines.
  • Communicate effectively and convey detailed information to faculty, staff, students, and the public.
  • Perform actions that demonstrate accountability.  Ability to exercise independent decision-making in support of the M&O office.  Practice within legal and ethical guidelines. 
  • Learn and adapt in the midst of new or shifting priorities with a "can-do" solutions-oriented approach to learning and problem solving.
  • Provide services to diverse populations including academic, age, socioeconomic, cultural, disability, and ethnic backgrounds; keeping an open mind to opportunities for all. 
  • Work independently and reliably.  Regular and consistent attendance is expected and required. 
  • Prioritize multiple competing priorities and deadlines as well as frequent interruptions.
  • Work with minimal supervision outside of a formalized, central office setting.
  • Understand, interpret, and communicate rules, policies, and procedures.
  • Work effectively in a team environment.

Work is sedentary in nature with frequent repetitive hand and wrist motions.  Frequent use of computer and exposure to terminal screens in performing work assignments.  Frequent need for oral and auditory communications.  Occasionally kneel, stoop, crouch, crawl, reach, and lift up to 25 lbs. in an office environment. 
Basic work schedule is 8:00am to 5:00pm, Monday through Thursday and 8:00am to 2:30pm on Friday.  Hours may be adjusted to meet the needs of the department.   


Minimum & Desirable Qualifications

At the time of application, all candidates must posses the following:

  • High school graduate/equivalent and two years of full-time clerical experience OR an equivalent combination of education and relevant work experience.  
  • Direct experience providing customer service to internal and external customers.
  • Experience using computers, spreadsheets, databases and/or work order software to accomplish daily work. 
  • Experience working with individuals from diverse academic, age, socioeconomic, cultural, disability, ethnic backgrounds.  


  • Associate's degree or higher from a regionally accredited institution.
  • Demonstrate the ability to work successfully as a contributing team member.
  • Demonstrate the ability to successfully handle multiple tasks and deal positively with frequent interruptions.    
  • Bilingual English/Spanish proficiency.
