Job Title Academic Administrative Assistant - History and Classics Department Department History Position Summary

Gettysburg College is seeking a full-time Academic Administrative Assistant to provide administrative support for the History and Classics Departments. This position requires 37.5 hrs p/wk for 44 wks and 20 hrs p/wk for 8 wks in the summer. Position provides technology, supervisory, clerical, administrative and office management services for the History and Classics academic Departments, the Chairpersons, and faculty members. Responsibilities of this position include, but are not limited to: functioning as the departmental receptionist by responding to students, faculty, visitors and guests; supervising student employees and processing multiple student time sheets on a bi-weekly basis; maintaining budgets, tracking and processing department and faculty expenses; assisting with the management of faculty searches (placing advertisements, corresponding with applicants, making travel arrangements, developing on-campus interview schedules, etc.); organizing special department meetings, lectures, and receptions; maintaining department website; assisting new faculty arrivals; and editing/updating catalogs, handbooks, departmental promotional materials, and newsletters.


High school education or equivalent required. A minimum of three to five years in administrative services is highly desirable. Excellent computer skills including Microsoft Office required. General accounting and website maintenance experience is desirable. The successful applicant must have a general knowledge of office practices and procedures. Additionally, the ideal candidate must have the ability to communicate extremely well both verbally and in writing; supervise student assistants and student associates; oversee and maintain department budget; prioritize and organize daily responsibilities; open and distribute incoming correspondence and assist with formal and informal functions; accurately handle a variety of tasks simultaneously; successfully meet deadlines; have professional and supportive interactions with students and faculty in a diverse environment; handle confidential information in the appropriate manner; work in a stressful environment; work with high volumes of electronic mail; and think and react appropriately to a variety of circumstances. Hourly rate: $15.00 – $15.25 per hour, negotiable depending on education and experience
