The Administrative Assistant supports the Development Team within Institutional Advancement. Duties for this position include a wide range of executive level administrative support.

Position Duties:

  • Provide ongoing data enhancement to Raiser’s Edge including adding daily correspondence, actions, and scanning and entering documents into the database.

  • Work closely with fundraisers to prepare materials for prospect meetings, capture notes, facilitate next steps, and timely and strategic follow-up.

  • Oversee incoming correspondence related to donors and prospects, triage to other staff members as appropriate, and prioritize items that need immediate attention.

  • Scan and process receipts and invoices with appropriate object and budget codes.

  • Coordinate and oversee business related travel for fundraising staff.

  • Assist on location with Development events when necessary.

  • Provide high level customer service to all internal and external constituents including donors, prospects, Board of Trustees, the Office of the President, the Office of the Provost and other internal departments.

  • Implement daily calendar maintenance including scheduling meetings, booking rooms, confirming appointments with faculty, staff, and senior level administrators.

  • Prepare and edit letters, memos and other correspondence.

  • Proofread, edit, format, and print documents and office communications for approval and signature.

  • Monitor and assist with order placement of department supplies, equipment, and materials.

  • Coordinate with the Executive Assistant to the Vice President of Institutional Advancement on the daily operations of Development to maintain processes that improve office functionality, efficiency, and professionalism.

  • Other duties more specific to the office as may reasonably be assigned.


Qualifications:

Education: Bachelor’s Degree or equivalent relevant experience required.

Experience:

  • Three to five years’ experience in providing progressively responsible administrative support and coordination, or other relevant and transferrable professional experience.
  • Proficiency is required in the use of Raiser’s Edge, Google Apps for Education especially Gmail and Google Calendar, Microsoft Office especially Excel, and Word.

Knowledge and Skills:

  • Ability to work in close and effective coordination and collaboration with both internal and external partners. Must be able to maintain confidentiality at all times and operate with a high-level of discretion and sensitivity.
  • Considerable analysis and research required to make decisions. Must have demonstrated ability to use independent judgment and critical analytic thinking.
  • Must have excellent verbal, written, and organizational skills and the ability to prioritize and remain calm under pressure.
  • Appreciation for the important role that higher education plays in the world.
  • An understanding of the important role of diversity, equity, and inclusion to institutional advancement.

Pratt is one of the largest undergraduate and graduate schools for art, design and architecture in the country and offers a wide range of cross discipline study options, dual degrees and major concentrations. The Institute's 25-acre campus contains twenty-four buildings, including landmark Romanesque and Renaissance Revival-style structures, clustered around spacious lawns and tree-canopied plazas. Sixteen buildings contain extensive studio, shop and technical facilities needed to support work in all media-from the traditional to the experimental. Five buildings are student residences. All have computer networking capacities and are Internet accessible. Computer labs, established with the most current equipment and the latest software, are available for instructional purposes and individual project use. Gallery space is extensive and the work of students, alumni, staff and other well-known artists is shown throughout the academic year. Pratt's Library, an historical landmark built in 1896, was the first fully automated academic library in the New York City area. Its art and architecture collection is excellent and contains approximately 208,000 volumes, 500 periodical and newspaper subscriptions, 66,000 slides, 190,000 pictures, 50,000 microforms, and 45,000 governmental documents.
