MAJOR DUTIES:

  • Create or coordinate University System Office invoicing process. This includes creation or upload of invoice templates; running automated processes; reviewing invoices for accuracy; sending invoices to the correct e-mail contact; reconciling Tech Store invoices to Tech Store expenses in PeopleSoft.
  • Apply incoming payments to invoices using PeopleSoft Financials and NetSuite. Payment application includes required knowledge of University System Office general ledger, department and chartfield structure.
  • Coordinate collection of past due USO invoices by following prescribed collection procedures on at least a quarterly basis. Maintain a system to document collection efforts.
  • Provide Tier-1 and 2 customer service for ServiceNow tickets assigned. Tier-1 involves assessing the issue and assigning to the correct department; Tier-2 involves research of the issue and personally resolving.
  • Prepare Annual ITS Enterprise Services Quotes and Estimates for distribution to USG institutions.
  • Provide Tech Store credit card reconciliation and reporting services including: (1) Reconcile credit card charges between the Tech Store and the Merchant Services provider; (2) Handle credit card chargebacks or disputes; (3) Provide credit card activity reporting to G/L Accountant on a weekly basis; AND (4) Prepare, reconcile and submit Sales Tax reporting on a monthly basis.

Required Qualifications:

EDUCATION AND EXPERIENCE REQUIRED:

  • Baccalaureate degree in accounting or related field with over one year of experience performing professional accounting duties required. Or equivalent combination of education and experience.
  • Advanced knowledge of MicroSoft Excel and working knowledge of MicroSoft Word required

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED BY THE CLASSIFICATION

  • Knowledge of Board of Regents policies and procedures.
  • Knowledge of University System of Georgia policies and procedures.
  • Knowledge of professional and governmental accounting standards.
  • Knowledge of the Fiscal Affairs Business Procedures Manual.
  • Knowledge of the Official Code of Georgia, Annotated.
  • Skill in written communication to executive and subject matter expert audiences.
  • Skill in decision making and problem solving.
  • Skill in interpersonal relations.
  • Skill in oral and written communication.
  • Ability to respond diplomatically to sensitive and critical issues.
  • Ability to effectively multi-task.

Desired Qualifications:

PREFERRED EDUCATION AND EXPERIENCE:

  • PeopleSoft General Ledger experienced preferred but training is available
  • NetSuite experience preferred but training is available
