The University of Puget Sound invites applications for an Assistant Director of Alumni Relations
Position Description:
The assistant director of alumni relations plans and implements initiatives that develop lifelong relationships with Puget Sound alumni and students. As part of this effort, the assistant director manages and directs regional and student programming for the Office of Alumni and Parent Relations. The assistant director identifies, recruits, and provides staff leadership to key volunteers in geographic areas of strategic importance to the university, and works with these volunteers to plan both volunteer-sponsored and university-sponsored programming in these regions. The assistant director serves as the alumni relations office liaison to a range of alumni classes and to the Alumni Council Regional Clubs Committee and the Student Alumni Association. The assistant director also manages all student programming in the alumni and parent relations office, working to build class identity and university affiliation among current students. The assistant director reports to the associate vice president for university relations.
Responsibilities:

  • Plan and implement university-sponsored regional programming to engage alumni and parents living in areas of strategic importance to the university. Manage the regional program planning timelines and budget, ensuring that programs meet all planning and marketing deadlines and budget projections.
  • Serve as the university's primary liaison to tier 1 and tier 2 alumni regional clubs and facilitate their involvement on the Alumni Council. Travel to key areas to execute regional programming and to meet with current and prospective volunteers. Provide staff leadership to the Regional Clubs Chair and facilitate the chair's participation on the Alumni Council Executive Committee. Work with the Regional Clubs Chair and the associate vice president to establish annual and long-term goals for the regional clubs.
  • Work with the Regional Clubs Chair to establish and maintain a leadership team of at least five volunteers for each regional club. Assist with the identification, recruitment, and training of these volunteers, including the creation of a robust set of recruitment and training materials. Meet all recruitment targets established with the associate vice president.
  • Proactively ensure that regional clubs are making progress toward established Alumni Council and university goals. Ensure that regional volunteers are properly recognized and acknowledged for their work and that their volunteer experience is a quality one.
  • Manage a portfolio of class officers and reunion volunteers. Meet all recruitment and orientation goals set with the director of alumni and parent relations, including the number and categories of volunteers recruited. Work closely with the annual giving liaisons for these classes to ensure a collaborative approach to shared objectives.
  • Conduct at least 25 face-to-face visits annually to recruit and steward alumni volunteers. Properly document each visit according to Office of University Relations policies and procedures. Manage and direct all student programming in the alumni office. Work with the class reunion program manager to create a programming arc that begins with student arrival and continues through graduation, 5th reunion, and beyond. Provide staff leadership to the Student Life Chair and facilitate the chair's participation on the Alumni Council Executive Committee. Work with the Student Life Chair and the associate vice president to establish annual and long-term goals for student programming. Manage and direct the Student Alumni Association and facilitate the group's participation in the Alumni Council and university life. Build Student Alumni Association membership that is representative of all four undergraduate classes and other aspects of campus life including Athletics, Greek Life, and other student affinity groups. Meet all recruitment targets as agreed upon with the associate vice president. Work with the Alumni Council Student Life Chair and colleagues in Student Affairs, Annual Giving, and Career and Employment Services to coordinate the work of SAA with other student activities. Facilitate the engagement of alumni in student programming. Create detailed timelines and flowcharts for programs and events, outlining deployment, deadlines, and revenue/expense budgets. Work with the director of alumni and parent relations to develop staffing plans to ensure adequate staff support for programs and events. Work with the director of alumni and parent relations to recruit faculty, university officials, and other administrators for involvement in programming and events. Prepare appropriate briefings and other correspondence to support their participation. Serve as a member of the associate vice president's management team to formulate and assess progress towards short- and long-term strategic plans for the Office of Alumni and Parent Relations.

Budget Responsibilities
Responsible for tracking the regional programs budget, working with the alumni and parent relations office manager to obtain approval for and to process related expenses. Conduct monthly budget audits to monitor progress toward revenue and expense goals.
Qualifications: Successful candidates will have the demonstrated ability to:
  • Take initiative in meeting individual and office-wide goals and objectives and in monitoring progress towards these goals;
  • Motivate and manage others to achieve shared goals and objectives;
  • Manage complex processes involving multiple stakeholders;
  • Manage print and electronic communications, including the development of compelling content and use of social media platforms to engage constituents;
  • Work and communicate effectively, orally and in writing, with a broad range of internal and external constituents including senior administrators, faculty, staff, students, alumni, parents and friends of the university;
  • Work independently, solve problems, handle confidential information and navigate sensitive situations;
  • Thrive and be flexible in a dynamic and fast-paced environment;
  • Create and follow a detailed schedule and meet multiple, simultaneous deadlines; and
  • Travel occasionally in support of office functions.
Successful candidates will possess:
  • A positive public presence, warm and gracious personality, and a sense of humor;
  • Excellent project management and planning skills as well as superior attentiveness to detail;
  • Two years of experience in alumni programming;
  • A track record of program development and implementation;
  • Highly developed computer skills including experience with Microsoft Word, Excel, Outlook, and PowerPoint as well as fund raising software such as Sage Millennium; and
  • A college degree or equivalent.

Compensation and Benefits: Decisions about starting salaries are made based on the extent and relatedness of the candidate's education and experience and on internal equity and market considerations.
