The Office of Advancement supports the mission of Georgetown University, its faculty, and students by developing relationships with key constituencies, connecting with alumni, and working with donors to help them know and understand opportunities for partnership with the university.

The Development Associate will play a key role within the Development team and the Office of Advancement. The Development Associate, Regional (Special Projects) is a highly collaborative role that will work closely with front-line development officers in the regional development team on major projects as it relates to prospect research and analysis, strategic portfolio management, and relationship management and communication. This position will provide high-level administrative and strategic support that development officers need in order to maintain an outward focus on building relationships and closing gifts.
The position is responsible for portfolio review, maintenance, strategy, identifying and researching potential donors to the University, and providing full-spectrum support to development officers. This position is designed to serve as a learning and training experience, structured to grow the talent of the Development Associate such that after 2-3 years, they are prepared to be competitive as candidates for Senior Development Associate and Assistant Director of Development positions with high-end annual gift/low-end major gift portfolios.
The Development Associate will report to the Senior Director of Development, Regional Development, but will serve as a strategic and collaborative partner to other major gift officers and development teams. Additionally, this role will serve as an internal liaison between the Regional Development team and other key Advancement departments to complete special development assignments, as needed
The Development Associate will have duties that include, but are not limited to the following:

Strategic Portfolio Management
  • Work collaboratively with development office to assess individual prospect portfolio/s:
  • Manage comprehensive review of portfolio in order to determine which of the many prospects within these portfolios should be retained, reassigned, or dropped.
  • Assist development officer to “tier” or “segment” the prospects in order of priority for his/her attention.
  • Confirm capacity and inclination of current prospects.
  • Ensure that prospects are appropriately staged.
  • Determine those prospects for whom additional research would be helpful.
  • Coordinate the entry of contact reports, prospect strategies, other substantive actions, and contact information updates on PRM as requested.
  • Review development officer operating budget(s), paying close attention to expenditures and notifying DO's of status.
  • Coordinate all activities relation to the University-wide giving process, including, but not limited to, preparation of solicitation materials, meeting materials, follow-up materials, coordination of conference calls, maintenance of fundraising records and statistics.
  • Develop and maintain systems in support of the DO's management responsibilities including budget and expense control, human resources utilization, correspondence, communication and coordination with all areas of the Office of Advancement and the University.
  • Manage programmatic and event responsibilities as assigned.
  • Coordinate composition and preparation of general correspondence and other materials produced for DO's.
  • Provide Donor stewardship by fielding inquiries from donors and handling sensitive and confidential donor information for the DO's; prepare specialized acknowledgements when appropriate.
  • Support the DO's and other staff members with various stewardship activities such as Gift Club receptions, dinners and other events including the ordering of downloads, assisting in developing invitation lists, production and mailing of invitations, etc. as needed.
  • Work with development officer to develop a plan for identifying/adding viable prospects to the portfolio.

    Prospect Research and Analysis
    • Apply prospect identification, research, and relationship management methodologies to support Advancement goals.
    • Utilize research resources including libraries, electronic databases, propriety information resources and data available on the Web.
    • Evaluate financial assets and known liabilities to estimate prospect giving potential and apply appropriate capacity ratings; evaluate gift capacity through standard wealth-assessment formulas.
    • Adhere to all aspects of record-keeping systems and information retrieval capabilities and protocols; understand information management and database structures, and update/input information in such systems routinely.
    • Run PRM and Gambit related reports with the goal of building a larger pipeline of prospects.
    • Engage in proactive prospecting, including data mining, to provide new prospects for the portfolios of development officers; engage in constituent list segmentation on the basis of limited, specific variables such as zip code, giving history, age, sex or other demographic data.
    • Research newspapers and periodicals, as well as online alert services for information on Georgetown alumni, parents, and friends; and disseminate all found information to files, database, prospect managers, and other interested parties.
    • Ensure that work completed has the highest levels of completeness, accuracy of information, and relevance of information to the fundraising process.
    • Generate strategic prospect lists as requested for specific fundraising initiatives or projects.

    Relationship Management and Communication

    • Communicate effectively with development clients and relay information requests in a timely manner.
    • Exercise clear communication (written and oral) in representing body of work.
    • Understand information management and database structures, and update/input information in such systems routinely.
    • Ensure that work completed has the highest levels of completeness, accuracy of information, and relevance of information to the fundraising process.
    • Interact with colleagues in Advancement with tact, professionalism and respect; work jointly with colleagues in a team effort to reach Advancement goals.

    Travel-related/Organizational
    • Make travel arrangements as necessary; coordinate DO travel arrangements with other staff.
    • Process travel and other reimbursement forms for DO.
    • Perform additional duties as assigned.

    Qualifications:
    • Bachelor's degree required.
    • Ideally 1-3 years of work experience, preferably in a development/fundraising environment.
    • Strong computer skills, including Microsoft Word, Access, and Excel.
    • Broad knowledge of and experience in the use of research materials, including the internet and online informational databases.
    • Must be able to work efficiently and effectively, at times under tight deadlines.
    • Strong problem-solving abilities; the ability to exercise independent judgment and imitative as appropriate.
    • Attention to detail is critical.
    • Must understand and practice a high standard of confidentiality and ethical information collection.
    • Highly developed interpersonal, written and oral communications skills required.
    • Strong collaborative and project management skills; ability to manage and prioritize multiple projects.
