Stanford Law School seeks to hire a highly effective programs and special events leader who can work with some of the nation's leading scholars to present and coordinate programs that attract high-level executives, regulators, jurists, politicians, attorneys, and professors. The role provides direct supervision and guidance over the Program Group (PG) staff, which assists in the planning and execution of high profile events such as Directors' College (the nation's premier executive education program for directors and senior executives of publicly traded firms), E-Commerce (a program for executives of internet based firms), academic seminars and colloquia, executive education programs, and related programs. The position reports to the Senior Associate Dean for Administration and CFO, and works closely with the Faculty and Directors of the supported programs, the Dean's Office, and other law school faculty and staff.
Manage Staff and take ownership of tasks to achieve goals and vision related to the creation, development, and execution of events.
Responsible for hiring and retaining staff, career coaching, personal development for direct reports and accountable for the performance of employees. Build and develop effective and focused event planning team(s), to create strong morale and collaborative environment. Oversee the management of event team to produce high-quality, multi-faceted events and productions and maintain exceptional customer service standards.
Evaluate program needs and advise the Faculty and Directors on issues of long-term strategic direction of the PG, staffing requirements, trends, and quality improvement strategies.
Establish and manage timelines and implementation strategies for program and event logistics, communication and marketing strategies, and participant and speaker recruitment and registration mechanisms.
Collaborate with faculty, center directors, and senior staff to oversee all event planning needs.
Research venues, suppliers and contractor, and negotiate prices, manage and coordinate all event logistics (eg. Venue, catering, travel).
Delegate both routine and important tasks/decisions, while assuming final responsibility for event logistics and team management.
Interact with senior management across the university in support of event planning goals for the Law School or university wide.
Proactive approach to problem solving, troubleshooting, and process improvements.
Develop on-going relationships with internal and external partners.
Collaborate with the Dean's office on special events for private donors, faculty recruitment, large conferences brought to the Law School as an inaugural event, and assist with Federal and Supreme Court Justices and VIP logistics.
Serve on the Law School Senior Staff team as well as the Operations Management team.
Coordinate across different program events and activities to maximize purchasing power and leverage volume with vendors. This includes developing and managing protocols to interface effectively with law school and university support units such as facilities and event/labor services.
Develop checklists and quick reference guides for various event protocols and procedures to be used by all law school staff.
Supervise the production of program publications by staff and students, in cooperation with relevant program directors and faculty, in the form of brochures, websites, policy briefings, newsletters, and other materials.
Supervise the creation and deployment of on-line web content and on-line registration systems. Coordinate training and assist PG team members in the development of expertise in relevant technology systems.
Coordinate with law school and university departments for parking, traffic control, security, first aid, and media inquiries.
Maintain accurate timekeeping data to track staff hours and details of projects and tasks, prepare reports to identify total costs incurred by events.
Work with the CFO and relevant financial services staff to prepare budgets, track expenses, and reconcile account activity related to events and programs. Utilize available budget data and program outcome data to make "best practices" recommendations to senior SLS managers and faculty and ensure program profitability (where applicable).

- Bachelor's degree and ten years of relevant experience or combination of education and relevant experience.
- Demonstrated history in creating innovative event planning strategies and collaborations.
- Strong people skills needed to staff events and coordinate activities.
- A collaborative leader who engages and empowers an organized team of event planning professionals engaging in a cohesive team environment.
- Superior verbal and written communications skills.
- Skilled at developing a staff of professionals and support personnel. Includes selection, motivation, and leadership of staff, as well as evaluation and development.
- Excellent judgement and decisiveness, high integrity, diplomacy and tact.
- Competency in budget management, cost accounting and vendor contract relationships.
- Excellent customer service skills with the ability to cultivate professional business partnerships.
- Strong attention to detail and time management.
- Familiarity with Stanford systems is a plus; knowledge of database concepts and proficiency with, MS Office (Word, Excel, PowerPoint), is required.
- Experience with event management software (Certain.com or equivalent back-end system), strongly preferred.
- Experience with on-line or installed CRM system (Salesforce.com or equivalent), strongly preferred.
- May require some travel, and working night/weekends.
