DESCRIPTION

The Graduate Division is the central resource for all matters related to graduate education at UC San Diego. Our team is there at every step in a graduate student’s career, helping students navigate their path from admission to graduation and beyond. Working behind-the-scenes and in collaboration with faculty, staff and students, the Graduate Division guides today’s scholars on their upward trajectory to becoming tomorrow’s leaders.

As Graduate Student Employment Coordinator for the Graduate Division, under general direction of the Director of Graduate Student Financial Support Unit, the incumbent has responsibility to perform and provide oversight for central personnel office functions affecting UCSD graduate students appointed in academic titles. Analyzes requests from all campus departments for employment policy exceptions in order to recommend action to the Dean of Graduate Division. Serves as campus specialist in matters regarding graduate student employment and financial support policy, advising departmental personnel and students.

Manages the Teaching Assistant (TA) Health Insurance, TA Fee Remission, TA Fee Deferment, and TA Loan programs. Plans and conducts regularly scheduled Staff Education and Development training classes for all campus employees who use the Payroll/Personnel System to hire graduate students. Creates instruction manuals and training materials, including design and maintenance of online computer training samples. Serves as the campus graduate financial unit's computer resource coordinator, to include responsibility for web page development, internal staff training, development of Structured Query Language (SQL) querying tools to extract and link data from multiple campus financial systems, and creation/maintenance of an integrated database for generating complex internal and campus reports.

QUALIFICATIONS
  • In-depth knowledge of graduate education aims and program structures in a university environment with extensive knowledge of, and experience with, the educational process, institutional policies and procedures, and organizational goals and objectives.

  • In-depth knowledge of complex graduate student support policies including: unionization, taxation and international student visa requirements and immigration regulations.

  • Extensive experience in researching, interpreting and analyzing complex materials to organize in a logical manner and incorporate data into coherent reports acceptable to diverse audiences.

  • Extremely strong organizational skills with ability to coordinate, prioritize, and complete work with strict attention to detail and accuracy while meeting multiple deadlines and with regular interruptions.

  • In-depth knowledge of IRS requirements pertaining to FICA/DCP regulations for graduate student employment. Ability to interpret and articulate FICA/DCP policies to students and staff.

  • Strong analytical and problem solving skills to research and interpret data, and recommend new approaches and innovative solutions to complex graduate student employment situations.

  • Independent decision-making skills with ability to exercise sound judgment, take initiative, and work independently without supervision. Solid organizational skills and ability to multitask with demanding time frames.

  • Ability to maintain a high level of confidentiality and discretion.
