General Summary of Position:
This position is short-term, part-time.
The Facilities Assistant will serve as business generalist for the Facilities Management department. They will perform a variety of general administrative duties working with Business Operations in primary support of Facilities Management.
Broad based Administrative Support including but not limited to:Respond to calls requesting service through the Facilities Service CenterReceive and dispatch urgent facilities related calls as requiredEnter and close work orders (heavy data entry)Records and processes incoming work requests, including key requestsNotify trades staff, supervisors or managers regarding facilities activities, requests for decisionsConvey a friendly and calm presence while demonstrating a sense of urgency for prompt and accurate response to emergency notifications (fire, flood, loss of power, etc.)Use a basic understanding of facility operations and strong problem solving skills for quick and accurate response to routine calls and concerns.Dispatch workers to respond to facilities concerns.Provide back-up coverage for receptionistInterface with vendors to arrange service or assist with procurement requirements.Qualified person needs strong understanding of time sensitive priorities and capable of making rapid calculations in assessing multifaceted issuesReserve and release conference rooms as needed when scheduling meetingsManage confidential data related to human resources transactions for the team including recruitment assistance, processing personnel actions as directedMay assist with timekeeping and reporting
Minimum Qualifications (Required):High school diploma or GED/equivalentThree years’ experience in a professional office setting with similar duties or other related experienceExcellent interpersonal skills and a positive telephone mannerDetail-oriented self-starter who and is responsive to immediate requests, and has the ability to effectively handle a variety of tasks in an organized fashion and follow throughMust be comfortable working with employees across the organizationHighly tech savvy with excellent computer skillsHigh level of confidentiality and sensitivityMust have the ability to multitask and prioritize tasks in a fast-paced and ever-changing environmentExcellent written and oral communication skillsDemonstrated ability to convey a friendly and calm presence while demonstrating a sense of urgency for prompt and accurate response to emergency notifications (fire, flood, loss of power, etc.)
Preferred Qualifications:Associate’s degree or higherPractical familiarity with PeopleSoft or other ERP systemsFamiliarity with R25 scheduling software a plusFamiliarity with HRIS systemsPractical knowledge of Kronos timekeeping systems or similar systemsExperience working in a Facilities Department or similar department
Special Instructions to Applicants:
This is a part-time position, estimated at 12-18 hours per week (non-unit, non-benefited). Working hours will be 9 AM to 3 PM, on the days specified by the university. Does not include weekend work.
