General Description

This person will coordinate the implementation of the DME program as it expands to all PDC and CPDC orthopedic clinic locations to include- introducing products to physicians and clinic staff, training staff on fitting, inventory ordering and management, documentation requirements, development of preference lists in Epic and reviewing claims prior to submission.

This person will be direct supervisor to DME Coordinators at each individual site and will hold them responsible for quality of care in fitting patients, leakage, timely submission of clean claims with all documentation standards being met.

This person will also be responsible for introducing new products to the faculty, adding products to the preference list, training faculty and DME site coordinators on proper usage.  This person will also be the main contact between the Department of Orthopaedics and third party vendor.

Job Duties  
• Coordinating all activities needed to bring new Ortho sites live on DME program (from site applications to Medicare, to hiring and training site coordinators, through inventory stocking and go live)
• Review products, introduce them to faculty, and follow process to add them to Epic preference list, order stock and educate staff
• Train and provide oversight at different locations to verify products are being applied to patients within manufacturer and safety guidelines
• Review inventory PAR levels and leakage at each site and hold site leaders accountable for metrics
• Review claims in DME WQs for each site to verify claims are clean and all documentation meets guidelines.  Meet with revenue managers to review any reimbursement issues.  Train site coordinators to do this as well and hold them accountable.
• Performance evaluations and meetings with DME coordinator staff individually or collectively
• Other administrative items such as payroll, hiring, onboarding, employee files

Detailed Tasks included in Broader Duties above:
1. Providing vision for DME Coordinators.
2. Hiring each DME coordinator alongside the site HCA.
3. Coordinating coverage/time off with each site HCA as necessary.
4. Troubleshooting and maintaining communication with surgery centers where surgery DME is dispensed.     
5. Having regular meetings with revenue manager to track trends and making adjustments as needed.
6. Submitting new orders to the revenue manager as needed.
7. Assisting with staff evaluations with the site HCA.
8. Auditing random claims from each site.
9. Communicating insurance and industry changes with each DME coordinator, revenue manager, and director of operations as necessary.
10. Ensuring that each DME Coordinator is educated and updated with the most current state and federal rules and regulations pertaining to DME.
11. Approving or making suggestion for alternative product addition to inventory at each site when requested.
12. Making updates to superbills as necessary and communicates accordingly with Breg.
13. Having routine meetings with each site DME Coordinator.
14. Handling customer complaints associated with DME as necessary.
15. Approving or denying requests for price adjustment.
16. Responsible for updating and disseminating information contained in the Policies and Procedures Manual.
17. Adjusting product prices in conjunction with the revenue manager as necessary.
18. Meet with newly hired providers along with site DME Coordinator to determine if new product is needed.
19. Explore new opportunities for growth.
20. Maintains job description of DME Manager and DME Coordinator.
21. Overseeing DME coordinators at each site.
22. Directing and Coordinating training sessions with DME Coordinator at each site when new product is implemented.
23. Ensuring adequate staff supervision at each site.
24. Delegating any other duties as assigned to DME Coordinator
25. Executing other duties as assigned by the Director of Operations.

Knowledge, Skills, and Abilities
• A candidate with prior experience managing a DME program
• A candidate with knowledge of documentation requirements when dispensing DME
• A candidate who understands the revenue cycle
• A candidate who is familiar with Epic

Education Requirements/Preferences
Bachelor of Science  - Athletic Training

Experience Requirements/Preferences
Prefer ATC/OT candidates with experience fitting DME and managing inventory.

Licensure/Certifcation Requirements
NATABOC Certification (ATC)
NC Athletic Training Licensure (ATC)
Orthoapedic Technologist Certification (OT)
