Requirements

The Division of Comparative Medicine's (DCM) mission is to provide state of the art facilities and quality animal care to support biomedical research and teaching missions of the University, and to comply with all applicable animal welfare regulations and guidelines. DCM also advises and educates researchers, staff and students on animal models and biomethodology while promoting best practices for the responsible use of animals. The Accounts Analyst is an essential and vital position to the Division of Comparative Medicine (DCM). S/he effects the fiscal viability of the DCM and affects research activities, processing all departmental billing - monthly per diem, animal recharges and veterinary and husbandry recharge services. Interacting frequently with GU accounting and procurement departments as well as outside vendors, the Accounts Analyst has additional duties that include but are not limited to:
  • Inputs all charges into internal electronic billing system and ensures charges have been billed appropriately, resolving any billing disputes.
  • Ensures all paperwork for animal orders are completed and filed accordingly, and that all invoices are filed appropriately and in a timely manner.
  • Maintains an active list of all cost centers for PIs, contacting PIs or their designees to update their cost center as needed.
  • Processes all invoices through Accounts Payable.
  • Follows up with vendors and Accounts Payable for inquiries regarding past due invoices and ensures copies of invoices are made for the department.
  • Processes departmental payroll ensuring that all information is accurate and submitted through Georgetown Management System (GMS) in the appropriate time frame.
  • Trains employees on GMS timekeeping procedures as needed, acting as the liaison between the DCM and GU Payroll.
  • Resolves timekeeping disputes and ensures employees are paid appropriately.
  • In the absence of the Administrative Assistant, performs front office duties such as animal ordering, answering telephones, handing out keys to the investigators, maintaining sign out sheets of who is entering the facility, and preparing documentation for DCM orientation.
  • Uses the Blackboard (GOCARD) database grant and cancels access to the DCM facility for DCM staff, investigators and their technicians and other personnel as assigned, preparing reports as requested by the DCM staff.

Qualifications
  • Bachelor's Degree
  • At least 2 years of experience with financial analysis, data entry, managing spreadsheets and databases
  • Strong customer service and communication skills
  • Strong computer skills and fully competency with Microsoft Office, particularly Excel spreadsheets
  • General business office experience, and familiarity with academic research environments
  • Familiarity with financial software systems is strongly preferred
