Reporting to the Dean of Arts & Sciences, the Winter Term Director provides comprehensive, educational, administrative, financial, and logistical support for domestic and international programs. This is a full-time, 12-month Administrative and Professional Staff position.

The Office of Study Away and Winter Term manages the project proposal, application, and grant processes for Winter Term and also coordinates the work of the Winter Term Committee. Oberlin’s Winter Term takes place each January for four weeks and encourages students to explore fields of study and experiential learning opportunities that may directly link to their major, but also encourages exploration beyond the major.

1. Administration and support for domestic and international Winter Term programs. 

  • In conjunction with the Winter Term Committee, oversee the administration of the Winter Term program, and, in line with the recent program review, lead implementation of changes to Oberlin’s Winter Term.
  • Advise faculty on all aspects of establishing and leading on-campus and off-campus study programs.
  • Serve as point of contact for student advising of programs.
  • Answer inquiries regarding program offerings, schedules, and costs.
  • Develop resources and tools for program development.
  • Manage the coordination and execution of Winter Term Fairs (Fall/Spring semesters).
  • Conduct program leader training on the student application and selection process, budgeting, program planning, financial management, risk assessment emergency procedures.
  • Stay abreast of current events that could adversely affect program/student safety and security.
  • Supervise collection of all applications, deposits, and release forms from students participating in all programs.
  • Coordinate student course registration for faculty-led programs in cooperation with Registrar.
  • Provide budget and accounting support services for all programs, to include: maintaining accountability of collection and expenditure of funds; reconciling account records; auditing program leaders’ expenditures; ensuring compliance with Oberlin’s accounting and travel policies; submitting closeout documentation to the Controller’s Office.
  • Coordinate travel arrangements for Winter Term study programs, including ground/air transportation and lodging, in coordination with travel agent/agencies.
  • Stay abreast of all required risk assessment and liability insurance information.
  • Ensure program leaders operate within risk management best practices.
  • Serve as an emergency responder when there is a crisis or emergency during program execution.
  • Maintain a valid passport and be prepared to travel when necessary.
  • Serve on the Off-Campus Study and Winter Term committees and support off-campus study.
  • Develop, distribute, and collect faculty post-program evaluations and participate in other study away and Winter Term assessments, as required.
  • Stay current in the international education field by attending conferences and seminars related to education abroad and faculty-led program management.
  • Set up, maintain and administer Terra Dotta software for international Winter Term projects

2. Communication & Campus Engagement

  • Serve as liaison to Student Accounts, Registrar, Career Center, the Controller’s office, Oberlin General Counsel, and the Student Finance Committee regarding all financial and other logistics.
  • Communicate appropriate information to students and parents and respond to questions.
  • Liaise with stakeholders both on and off campus (e.g. travel agencies, insurance provider).

3. General office duties

  • Assist in the hiring, scheduling, and supervision of student employees.
  • Serve on College committees, as requested.
  • Other duties as assigned

Required Qualifications:

  • Master’s degree in appropriate field. Three or more years in the study abroad field with experience managing faculty-led programs.
  • Demonstrated experience working in higher education in the study abroad field.
  • Experience with basic travel and financial management.
  • Experience establishing relationships and positive communications across multiple dimensions of diversity.
  • Demonstrated ability to develop and deliver presentations about the relevance of international and experiential learning to a college education.
  • Experience with student development in higher education.
