Ensure accurate records of program activities, student services, and student eligibility are kept for the Talent Search Transitions Program. The administrative assistant will be integral in the coordination and logistics of program activities and services.

Essential Responsibilities:

1. Coordinate and complete data entry to ensure accurate and timely recording of student information in a variety of databases.
2. Collect and organize student paperwork to ensure timely record keeping that complies with grant regulations as well as readiness for grant audits.
3. Assist with implementation of grant programming activities, including scheduling events, purchasing supplies, and providing general support at events.
4. Monitor student participation and academic progress; process required reports.
5. Manage communications to parents and students.
6. Assist with purchasing and tracking expenses for the program budget.
7. Ability to work a flexible schedule which includes days/evenings/weekends as needed by the department.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements below are representative of the knowledge, skill, and/or ability required.

• Associate's degree (AA) required.
• Minimum two years' experience in programs with administrative responsibility
• Demonstrated experience working with databases and managing documentation.
• Experience working with budgets and purchasing preferred
• Possess strong analytical skills with attention to detail.
• Demonstrated experience working with diverse populations.
• Excellent communication and interpersonal skills.
• Ability to multi-task with frequent interruptions
• Ability to prioritize and manage workload
• Proficiency with Microsoft Office Suite and Google applications
• The ability to create a welcoming environment and relate easily to individuals of diverse backgrounds.
• Ability to work a flexible schedule which includes days/evenings/weekends as needed by the department.

Desired Qualifications:

• Bachelor's degree preferred
• Administrative responsibility in education, secondary or post secondary environment preferred
