The Perelman School of Medicine at the University of Pennsylvania is the oldest and one of the finest medical schools in the United States. Duties

As a BA, you will be an integral member of the finance team by managing the day-to-day operations of procurement, payroll and travel as well as asset and space management.

You will manage the procure to pay process which entails the review/enter purchase orders for all supplies/materials/services; blanket/standing PO’s, non-PO requests, reconcile PO Encumbrances, new supplier requests, independent contractors as well as the facilities, telecom and other interdepartmental purchase requests. Will work with the program and purchasing department in reviewing/negotiating contracts. Have approval within allowable dollar threshold for all procure to pay process. Support and be resource for all accounts payable inquiries.

You will manage the payroll process which entails processing new hires, terminations, late pays, additional pays, vacation payouts, processing salary and effort reallocations, monitoring salary management reports and PTO system. Oversee E-time sheets for weekly non-exempt ~40 FTE’s.

You will manage the travel program by utilizing the Concur system to approve and process travel reimbursements and reconciling ProCard purchases.

You will mange the asset management and space management which entails working with lab operations in tagging and tracking equipment and maintaining space inventory system. Work with Executive Director in providing the capital/equipment analysis.

You will work with Executive Director in the design and monitoring of SOP’s to ensure efficient, timely, and accurate reporting. He/she will have full understanding of the chart of accounts to allow him/her to approve purchasing and expenses booked to the correct areas in the general ledger.

You will directly supervise financial coordinator team and be able to back up the Executive Director.

This position will be cross trained in several areas and will provide backup support to others within the GTP/ODC Fiscal Operations team.

Qualifications

Bachelor’s degree preferredd and 2-3 years of experience working in finance or accounting or equivalent combination of education and experience is required. Previous experience in academic setting preferred. Knowledge of basic accounting practices, financial reporting, and variance analysis required. Individual must be detail oriented and organized. Strong proficiency in Excel and the entire Microsoft Office Suite preferred. The ideal candidate will be a self-starter and quick learner, a strong team player able to work in a dynamic environment. Experience with university financial systems preferred. Knowledge of Business Objects and BEN Financials a plus. Must be able to maintain confidentiality of sensitive information.
