Overview

The Human Resources assistant is responsible for providing courteous, helpful, and reliable reception, customer service, and office support. Stationed in our Front Desk reception area, the assistant provides a welcoming presence in our office for visitors. The individual responds to varied in-person inquiries and appointments; provides support for meetings and events; processes orders and payments for supplies and office needs; provides calendaring support for the Office and numerous shared meeting spaces, including the assistant vice president; coordinates the onboarding process for new staff in HR; assists with office communications, and other duties, as necessary. The assistant also provides backup support to the Human Resources Service Center, when necessary. This position is part of the Engagement and Administrative Services Team and reports directly to the manager for engagement and administrative services.



Responsibilities

Administrative Services

  • Greet visitors and respond to their inquiries; notify HR staff that their appointments have arrived.
  • Assist prospective employee walk-ins with the job application process.
  • Be available for and respond to phone calls.
  • Provide backup support to the HR Services Center, if necessary. Have working knowledge of the employment authorization process.
  • Serve as lead for facilities management for work orders and other needs. Coordinate building access, when necessary. Disseminate operations updates to staff.
  • Coordinate incoming and outgoing mail.
  • Monitor and order office supplies and coordinate vendor services such as shredding, water delivery, etc.
Engagement

  • Provide support in coordinating campus wide programs and events.
  • Serve as a resource for internal HR events; provide support for communications, scheduling, food and supply purchases, and the monitoring and booking of space.
  • Assist with copy editing, proofreading, and design for office communications.
  • Monitor and edit the HR website, as needed.
  • Assist with updating content on social media platforms.
  • Research and gather quotes from internal and external vendors, when necessary.
  • Maintain and organize the photo images library for HR; schedule photographers to update or add new photos.
  • Oversee the process for onboarding HR staff.
  • Assist the onboarding administrator with new hire orientation and coordinating necessary materials.


Qualifications

Understanding the work of Human Resources is beneficial to being successful in this position, and the individual performing this job should be interested in the field of human resources. Two years of related work experience is required. The assistant must have strong customer service skills, be able to work independently, and have the ability to juggle multiple tasks that may have critical deadlines while being organized, accurate, and detail-oriented. Also required is the ability to handle confidential information; work collaboratively; research information to clarify and resolve issues; and exercise sound judgement. The individual must have excellent communication skills and the ability to interact with a diverse customer base. Proficiency with MS Office and willingness to learn new technologies is required. A college degree is preferred.
