Duties

Founded in 1884, the School of Veterinary Medicine at the University of Pennsylvania – Penn Vet – is one of the world’s premier veterinary schools. Penn Vet is the only veterinary school in the United States that was a direct outgrowth of the University’s School of Medicine. A pioneer since its inception, Penn Vet has led the way in such areas as infectious disease research, germ cell biology, animal transgenesis, comparative oncology, and comparative medical genetics. Penn Vet has also successfully integrated scholarship and research with all aspects of veterinary medical education. The School’s strength in basic sciences, immunology, and mathematical modeling are valuable assets for developing strategies to rapidly detect and control the spread of new infections, and improving and developing vaccines that effectively protect animals.

Reporting to the Vice Dean for Advancement, the Development Coordinator provides key administrative support for the Vice Dean; manages the administrative operations of the Penn Vet Board of Overseers, including support for three yearly meetings, drafting ongoing communications to the Board, and Board-related events; and provides tactical support on an as-needed basis for Penn Vet’s fundraising program, including Penn Vet’s Annual Fund and Gift Planning efforts. In the course of fulfilling these duties, the Development Coordinator will represent the School in interactions, both verbal and written, with high-level internal and external constituents.

Specific Duties

* Provide high-level, complex and diversified administrative support to the Vice Dean of Development. Manage, coordinate, schedule and maintain calendar for the Vice Dean. Arrange travel as required and process expense reimbursements.
* Manage the operational aspects of the Board of Overseers, including: scheduling and planning for three board meetings annually; bi-annual orientation program for new board members; and regular correspondence to the Board. Attendance at Board meetings may be required.
* Compose correspondence and meeting minutes and prepare reports and PowerPoint presentations. Maintain/manage spreadsheets and databases. Create prospect and donor reports using Atlas, Penn’s donor database.
* Assist with organizing tours of the Ryan Hospital and New Bolton Center for donors, prospects, alumni, and clients.
* Assist other functions of the Advancement office with other duties as needed. These may include: assistance with gift processing and gift agreements, major and annual gift stewardship, creating prospect and donor reports, and writing and reviewing correspondence and solicitations.

Qualifications

Bachelor’s degree preferred. Five to seven years required experience. Three to five years relevant experience preferred, e.g., development, client management, special events, or communications. Incumbent must possess excellent organizational, communication, and writing skills, and have the ability to manage multiple projects simultaneously with minimal oversight. Strong technical skills, including demonstrated ability to work with Microsoft Office software, including Word, Excel, and PowerPoint is essential. Ability to work independently while functioning collaboratively as part of a goal-oriented team required. Must be able to handle complex and highly confidential materials and interactions with both internal and external constituents. Incumbent should help set a positive and professional tone in his/her interactions with all constituents. Ability to work occasional evenings and weekends. Ability to staff events when needed. Limited travel is a possibility.
