 TheDepartment of Emergency Medicine has an opening for a full-time, UniversityStaff (unclassified) Business Services Principal Professional position.

Natureof Work

This is a full-timeposition in the Department of Emergency Medicine. This position provides oversight of all executive assistantsand other support personnel in the Department. Responsibility will includecoordination and management of faculty meetings, Directors meetings, ExecutiveCommittee meetings as well as management of the calendar and meetings of theVice Chair of Finance and Administration. This position will report directly tothe HR Manager and will directly supervise 5-8 employees in the Department.  


This position will beresponsible for working with the Vice Chair and Chair in order to developcreative strategies to effectively and consistently communicate theDepartment’s broad range of dynamic programs and achievements. This role willbe directly responsible for managing, planning, and executing special projectand events in compliance with University rules. This individual will work in aself-directed manner with excellent prioritization skills. This individual willneed to be mission-driven and a strong advocate for the growth and developmentof opportunities within the Department. We are looking for aresponsible individual to oversee the workflow in our Department. The roleis a complex one. This individual will not just be someone who supervises thework of others, but will be responsible for coaching, resolving issues andserving as a link between subordinates and upper management. This individualwill ensure execution of all Dept. special projects.


This position willreport directly to the HR Manager and will directly supervise 5-8 employees inthe Department.

 Examples of Work Performed:
  • Oversight of all executive assistants and other supportpersonnel; will directly supervise 5-8 employees in the Department.
  • Act as backup and proxy for all executive assistantsin the Department.
  • Coordinate and manage faculty meetings, Directors meetings,Executive Committee meetings.
  • Manage the calendar and meetings of the Vice Chair ofFinance and Administration.
  • Handle procurement for events, purchases, etc., seekinginput and authorization for advanced or criticaldecisions.
  • Management of end-user software training to maximize efficiency of department staff.
  • Visiting Professor Program Coordinator.
  • Invite guest speakers and coordinate associated travel, accommodations, reimbursements, catering, agenda, materials preparation, room reservations, IT, and other varied needs
  • Work with Vice Chair on continuous quality improvement efforts.
  • Responsible for managing, planning, and executing special projects and events in the Department:
  • Faculty events for incoming/outgoing/recruitment/retirement.
  • Ongoing enrichment: faculty retreats, Grand Rounds, holiday party, administrative staff team building events, Professors Dinner, etc.
  • Responsible for ensuring all events and projects are executed professionally and successfully while promoting the University’s mission and Department objectives.
  • Ensure that all special projects and events are conducted within budget and following University rules.
  • Work with Vice Chair and Chair to develop creative strategies to effectively and consistently communicate the Department’s broad range of dynamic programs and achievements
  • Oversight of all executive assistants and other support personnel in the Department.
  • Coordinate and manage faculty meetings, Directors meetings, Executive Committee meetings.
  • Manage the calendar and meetings of the Vice Chair of Finance and Administration.
  • Handles procurement for events, purchases, etc., seeking input and authorization for advanced or critical decisions. Responsible for all reconciliations related to purchases.
  • Act as backup and proxy for all executive assistants in the Department.
  • Perform other duties as assigned.

    QualificationsMinimum Qualification:
  • Abachelor’s degree in business, business administration, finance, accounting ,education, social sciences, healthcare administration, public administration,communications, information systems, or a directly related field from anaccredited institution. Experience with program creation, implementation andmanagement.
  • Five (5) years of experience with day-to-day management of business and administrative operations.
  • Prior supervisory/management experience.
  • Preferred Qualifications
  • Master’s degree in business, business administration,finance, accounting , education, social sciences, healthcare administration, public administration,communications, information systems.
  • Experience working with UPI, UCH and University policies, rules and regulations.
