Preferred Qualifications Position Summary

This position will serve as the initial point of contact for all incoming faculty, students, staff and visitors for the Biochemistry and Molecular Biology Department. Responsibilities include, but are not limited to, answering calls and responding to emails, processing mail, scheduling conference rooms and usage of departmental vehicles, processing purchase and check requests in OneSource, supervision of student workers, managing building access requests in the Andover system, exchange of quarterly film badges for radiation safety, and assisting with various other things as they come up within the department.

Knowledge, Skills, Abilities and/or Competencies

Knowledge of Adobe Acrobat, Microsoft Word, Excel, PowerPoint, and webpage development. Knowledge with OneSource and UGAmart a plus.

Physical Demands

Sit at a computer for extended periods of time. Lift 25 pounds.

Answers all incoming calls and emails to the department. Process all incoming and outgoing campus mail, Federal Express and UPS packaging. This also involves notifying research laboratories of incoming packages to be picked up. Will manage the storage room and the completion of the transfer of files to the Finance and Administration Records Center. Handle scheduling for conference rooms via an extensive online calendar, and schedule use of the departmental car and van. Photocopy exams and class notes and manage student files. Position will supervise two student workers.

Assist the Department Head and the Administrative Specialist II with IT duties, such as uploading all personnel information to the departmental website, adding new pages, events, and news. Assist in faculty webpage development or modifications.

Process departmental UGAmart orders, and check/travel requests and post/process all FEDEX/UPS charges in OneSource. In addition to handling employee reimbursements both in Onesource and the Foundation check request system. Assists with approving UGAMArt orders and posting to the departmental spreadsheets for the Biochemistry labs as needed.

Process all building access requests and update holiday building access in the Andover system, manage key inventory for entire department, new key requests, paper inventory and supply inventory. Also, responsible for exchange of quarterly film badges for radiation safety.

Assist with course offerings and compile all course evaluation material and disperse to appropriate faculty; assist with ELC content. Assist with graduate student recruitment and graduate student correspondence, handle all graduate student reimbursements.

Assist with the departmental Seminar Series, special event planning and faculty correspondence, including delivering and picking up documents, escorting visitors and seminar speakers as necessary.

Serves as telephone representative which includes processing requests for new telephone service, discontinuing service, repair service and working with UGA Telephone Services for any issues related to the Biochemistry Department.
