Organizational Description:
Admissions and Recruitment supports the university's goals for undergraduate student enrollment by recruiting diverse students from our region and beyond through equitable partnerships, innovative programs, high quality services and recruitment technologies.

Overview:
The Imaging Center is responsible for the processing of all incoming official transcripts and documents for all students of all levels. Staff in the Imaging Center perform a wide range of moderate to complex clerical assignments such as entering transcripts into PeopleSoft; assist with imaging of documents using OnBase Imaging Software; indexing documents to students' records; perform data entry in U.achieve (DARS); answer staff inquiries regarding normal day-to-day imaging and document processing functions.

Position Summary:
  • Process and data entry a high volume of transcripts in PeopleSoft
  • Image and index documents into OnBase
  • Perform Optical character recognition (OCR) transcripts using OnBase
  • Perform data entry of transcripts in U.achieve (DARS)
  • Work with other areas within Admissions and Recruitment and external offices to resolve transcript processing and document imaging inquiries
  • Answer phone inquiries from students, staff, faculty and external college and university communities
  • Provide efficient and friendly customer service
  • Exercise good judgment and proactive problem solving
  • Participate in staff training and read assigned information and materials to stay current on knowledge necessary to perform the job effectively and efficiently
  • Support the mission of the Division, Office, and University
  • Maintain up to date with Admissions and University policies and procedures
  • Collect and file student data, and update student records on a computer data system, and maintain folders and files
  • Establish and maintain working relationships with others within and outside of the university
  • Organize and prioritize multiple work assignments
  • Sort, log in and route incoming mail
  • Assist in training student assistants
  • Other duties and special projects as assigned

    Knowledge, Skills, and Abilities:
  • Thorough knowledge of office methods and best practices
  • Thorough knowledge of correct English grammar, spelling, and punctuation
  • Possession of good oral communication and interpersonal skills
  • Fluency and proficiency in using standard office software (Word, Excel or related software, email, and internet usage)
  • Ability to:
    o Learn, interpret independently, and apply complex policies and procedures
    o Handle multiple tasks and projects at the same time
    o Apply independent judgement, discretion, and initiative in performing duties
    o Maintain confidentiality with sensitive situations and information
    o Establish and maintain effective working relationships with faculty, students and staff from diverse ethnic, cultural, and socio-economic backgrounds
    o Work in a team environment and collaborate with coworkers to achieve goals
    o Understand and abide with the Family Education Rights and Privacy Act (FERPA) and the confidentiality of records
  • A history of regular attendance and positive performance evaluations

    Education and Experience:
  • Completion of a high school program, technical/vocational program or their equivalents
  • Two years of progressively responsible clerical experience

    Preferred Skills:
  • Experience working with a high volume of data entry
  • Experience working with complex data systems, preferably PeopleSoft and U.achieve (DARS)
  • Experience working with an imaging system, preferably OnBase
  • Familiarity with higher education documents
  • Experience and knowledge of university/higher education policies and procedures
  • Completion of a bachelor's degree
