Job Summary Requisition Number: 30110 Job Title: _____ASSISTANT II Working Title: Administrative Assistant Salary: $20.27 - $28.78 hourly Job Type: Career Department Name: 5780-UNEX-INTERNATIONAL PROGRAMS Department Website URL: Job Summary Statement: The American Language Center (ALC) provides English instruction to speakers of other languages and has four programmatic cost centers and an administrative cost center with an annual gross income of over $6 million. The Academic Intensive English Program (AIEP) and Intensive English Communication Program (IECP) offered through the ALC are the two largest of these cost centers with a combined revenue of over $4 million. In addition, incumbent would be responsible for providing support to other ALC programs, such as individual courses, short-term custom programs, and UNEX Writing Center. Reporting to the MSO-II, while under the general supervision of the Director of AIEP/IECP, the Administrative Assistant II has direct involvement in five major areas: A) Administrative support of the intensive programs; B) Student counseling, advising, and customer support; C) Direct support to instructors of the intensive programs, D) Financial Support; and E) Information gathering and dissemination.

The successful candidate must be flexible and adept at managing multiple and frequently changing priorities and be proactive in addressing ongoing and newly emerging tasks. The candidate must be able to work occasional evenings and weekends, especially during program start-up. This candidate must also have the ability to work at different UCLA Extension /ALC sites. Required 2.Ability to initiate and maintain cooperative relationships with coworkers, managers, supervisors, customers/clients, and members of the public. Required 3.Ability to maintain an open approach regarding performance feedback and guidance. Required 4.Demonstrated skill with PCs and the MS Office Suite -particularly Word, Excel, PowerPoint and Publisher. Required 5.Facility with other applications, including database, graphic design, and desktop publishing software, survey tools and business management systems. Preferred 6.Ability to communicate effectively with non-native speakers of English in order to obtain and convey program information. Required 7.Skill in listening perceptively to non-native speakers of English in order to promote the acculturation process and to display cross-cultural sensitivity. Required 8.Ability to speak articulately on the telephone and to project a professional telephone demeanor. Required 9.Skill in operating and troubleshooting standard office equipment, including a multi-line telephone system, copiers, PCs, printers, etc. Required 10.Skills in working within a team to assure operational goals are achieved and to maintain a positive and efficient working environment. Required 11.Ability to read documents written in standard English including program materials, University policy and procedures. Required 12.Skill in writing in order to compose program materials, routine correspondence and reports in clear, logical and concise prose. Required 13.Skill in planning and prioritizing complex tasks with conflicting demands and deadlines, frequent interruptions and changing priorities. Required 14. Skill in problem solving and the ability to analyze situations, define problems, identify relevant factors and recommend appropriate solutions. Required 15. Ability to follow through on projects with minimal supervision. Required 16. Ability to work evenings and weekends particularly through the
Summer program season. Required 17. Facility with a second language.
