The School of Engineering, Materials Science and Engineering (MSE)

Founded in 1919 with its roots in metallurgy, Department of Materials Science and Engineering focuses on controlling and understanding the structure and properties of materials related to information technology, energy production/storage, aerospace and biotechnology/medicine. Areas of research are addressed through electronic, optoelectronic, photonic, magnetic, electrochemical, mechanical and biological properties of materials. Microstructural characterization at the nanometer length scale, together with computational modeling at the atomic and molecular scale provide fundamental support of these studies. In addition, ultrafast x-ray photography is used to understand materials at the atomic scale. The materials of interest in the department include metals, ceramics, glasses, composite materials, polymers, and biomaterials. Faculty and students work collaboratively with researchers in other fields, including chemical engineering, applied physics, electrical engineering, mechanical engineering and medicine.

Department of Materials Science and Engineering, seeks an Administrative Associate to provide administrative and operational support to faculty and students. Reporting directly to the Director of Finance and Operations, you will provide support to a large volume of diverse clients and perform a broad range of simultaneous duties supporting department's core operations. Your responsibilities include:
  • Representing the Department of Materials Science and Engineering by being the first point of contact to respond to inquiries, determining and taking appropriate action as required.
  • Providing executive level of support to the Department Chair and the Director of Finance and Operations.
  • Maintaining a high-level of detail by managing multiple calendars, conferences, and travel.
  • Composing, formatting, preparing, and distributing routine high-level communications and materials relevant to department correspondence.
  • Maintaining approved content on department website and social media platforms.
  • Displaying your organizational skills by coordinating logistics and materials with limited consultation, and interfacing with vendors associated with conferences and various events.
  • Providing accurate and timely processing of financial transactions, acquisition of capital equipment, P/TCard transaction verification and award reconciliation.
  • Maintaining office supplies and equipment, obtaining vendor quotations, coordinating office moves, department space inventory.
  • May supervise other administrative staff.
  • Flexibility in completing any other assigned duties



    To be successful in this position, you will bring:
    • A High School diploma and four years of administrative experience, or combination of education and relevant experience.
    • Proficiency in computer skills and demonstrated experience with office software and email applications.
    • Demonstrated success in following through and completing routine tasks.
    • Strong organizational skills and attention to detail.
    • Strong verbal and written communication skills.
    • Excellent customer service and interpersonal skills.
    • An ability to prioritize and multi-task.
    In addition, preferred requirements include:
    • Bachelor's Degree, or Advanced Graduate Degree
    • MS Office, Outlook, and Box experience
