SUMMARY:

A member of the departmental leadership team, the Associate Director of Admission leads a talented team of exempt and non-exempt employees. In partnership with the Associate Vice President and Dean of Admission, Executive Director of Admission, and the senior admission management team, the Associate Director is charged with strategic planning and developing strategies and tactics to attract, recruit, select and enroll a talented and diverse student body that supports the overall mission and enrollment goals of the University and those outlined in the institution’s strategic plan. Charged with providing leadership and direction for international admission, off-campus recruitment and yield programs, and the Alumni Recruitment Committee (ARC), the Associate Director also plays a significant role in overseeing the daily administration of the Office of Admission, including all operational functions germane to staff supervision and data analysis.

RESPONSIBILITIES:

Departmental Management and Supervision

  • Coordinate project areas that have an impact on international admission, off-campus programs, western regional office, and ARC activities throughout the admission cycle that affect student recruitment initiatives such as outreach to underrepresented populations and alumni recruitment.
  • Develop, implement, and evaluate long-and short-term team goals and action plans, including outreach and diversity initiatives. Create and compile annual reports and updates.
  • Lead, supervise and mentor professional and support staff on the off-campus team. Manage day-to-day operational and professional development opportunities.

Off-Campus Program Management

  • Oversee domestic off-campus programs, including strategic planning, implementation, and evaluation of student recruitment and yield activities, as well as supervision of admission officer travel responsibilities.
  • Manage the execution of the domestic off-campus recruitment plan. Responsibilities include: market research and development, creating a master plan to appropriately cover all travel regions; training admission staff; researching budgetary needs and allocating funds by prospect management region; coordinating and analyzing the outcome data for the travel plan to project applicant increases, yield improvements, and cost-effectiveness; and, monitoring current student recruitment trends to forecast staffing travel demands to ensure peak work flows are covered.
  • Manage domestic recruitment travel, western regional, and off-campus programs budget indices; prepare and monitor budgets, reconcile expenditures, and research and develop program enhancement requests related to project responsibilities.

International Admission

  • Oversee international recruitment strategies for four admission officers and manage the execution of the recruitment plan; train new team members on the nuances of international travel.
  • Plan, implement, and evaluate the office-wide international travel recruitment plan. Responsibilities include: market research and development; creation of a master plan to appropriately cover travel regions around the world; training admission officers to travel internationally; researching budgetary needs and allocating funds by Prospect Management region; coordinating and analyzing the outcome data for the international travel plan to determine applicant increases, yield improvements, and cost-effectiveness; and, monitoring international recruitment trends to forecast staffing travel demands.
  • Research educational systems and systems around the world and serve as the office expert.
  • Manage international recruitment budget indices; prepare and monitor budgets, reconcile expenditures, and research and develop program enhancement requests related to project responsibilities.
  • Oversee all aspects of the selection of international candidates for admission and scholarships within a need-aware international admission process. Coordinate with the Financial Aid Office to oversee and deploy the international student aid budget.
  • Manage the issuance of immigration documents for enrolling international students and serve as a Designated School Official, U.S. Department of Homeland Security.
  • Serve as the primary liaison with the Office of International Education.

Alumni Recruitment Committee (ARC) Management

  • Oversee ARC recruitment and yield strategies, including strategic development of ARC program, and supervision of staff who manage ARC daily operations.
  • Manage ARC budget index; prepare and monitor budget, reconcile expenditures, and oversee program enhancement requests related to project responsibilities. Compose annual reports and updates; compile year-end reports for external and internal reporting. Formulate policies and procedures as they relate to ARC programs.
  • Develop strategies working with the Office of Alumni and Career Services to establish and expand ARC chapters in key regions where alumni reside.

Prospect Management Responsibilities and General Recruitment Activities

  • Establish short- and long-range prospect management goals and action plans for assigned regions. Develop and implement strategies and tactics to identify and expand the potential numbers and types of top prospects in the regions.
  • Determine the recruitment and yield activities that are most effective for each market sector and develop a plan with justifications for selected activities; manage the travel budget for expenditures associated with off-campus recruitment and yield activities.
  • Plan and implement admission activities related to the recruitment and yielding of prospective students, including planning all travel logistical arrangements and coordinating high school visits, regional receptions, alumni interview training, counselor workshops, and off-campus interviews. Evaluate and assess the effectiveness of admission activities for geographic region.
    • Cultivate and sustain a “directive counseling” relationship with secondary school college counselors, independent counselors, and other professional organizations. Sustain long-term productive contact with constituencies via email, correspondence and telephone.
    • Lead an Admission Committee in the holistic review of the academic and personal qualifications of candidates for both acceptance and merit scholarships. Contribute to the final shaping of the class to meet institutional goals.
    • Serve as external affairs officer representing the University to a wide and diverse audience at high schools, college fairs, on-campus admission programs, information sessions, and regional receptions.

QUALIFICATIONS:

  • A thorough understanding of and appreciation for the selective, private college admission process, the strengths of an undergraduate liberal arts experience, and the value of inclusive diversity.

  • Demonstrated ability to effectively lead and motivate a team of professionals.
  • Knowledge of national and international student markets and mobility trends, and ability to utilize data to assess, evaluate and validate decisions.
  • Advanced problem-solving capabilities, creativity, and strong work ethic.
  • Familiarity with software platforms such as relational database systems.
  • Demonstrated ability to effectively lead, supervise, train, and develop staff.
  • Demonstrated ability to prioritize and manage multiple tasks concurrently coupled with excellent organizational and delegation skills.
  • Highest standards for accuracy.
  • The ability to handle highly confidential information is required.
  • Persuasive oral communication skills, including excellent public speaking skills; strong written and interpersonal communication skills.
  • Demonstrated ability to work collaboratively with various internal and external constituencies.
  • Extensive knowledge of Microsoft Office products.
  • Ability to manage budgets.
  • Required: Must have a valid Driver's License and be able to produce a driving record with a minimum of 3 years of driving history in good standing. Must have a valid passport, or the ability to obtain a passport, and ability to travel internationally.

EDUCATION & EXPERIENCE:

  • Master’s degree preferred; Bachelor’s degree required.
  • At least five years of professional experience in college admission, including responsibilities for domestic and international recruitment, travel strategy and management and application review.
  • At least five years of direct supervisory/leadership experience.
  • Experience with international admission is preferred
  • Experience with integrated relational database systems is preferred.

WORK HOURS:

  • Full-time, exempt position
  • Monday – Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week
  • Occasional overnight travel may be required

SALARY STRUCTURE:
Pay Grade 7 (Hiring Range $52,829.00 to $69,999.00 annually)
