Job Details

The University of Denver Libraries, comprised of the Main Library at the Anderson Academic Commons, a remote storage facility called the Hampden Center, and the Bonfils Stanton Music Library in the Newman Center, is a highly collaborative organization that serves a diverse population, ranging from our students, staff, and faculty to public and other academic patrons from the surrounding region. Position Summary

Reporting to the Assistant Director of Library Facilities & Operations, this exempt level position will provide support for the daily operations of the University Libraries, Anderson Academic Commons facility. Primarily, this position manages various aspects of event coordination, including event scheduling and communicating with internal and external University partners. Working with the University Libraries administrative unit, this position helps coordinate facilities activities including facilities requests, work order processing, and security access management. This position will be required to accommodate a flexible work schedule in order to coordinate the associated activities.

Essential Functions

  • Responsible for processing all room reservation requests for the Anderson Academic Commons including the scheduling of outdoor spaces adjacent to the facility; ensures indoor/outdoor events are properly managed and that their impact is minimal to the facility and that faculty and staff in the facility are aware of and prepared for outdoor events; works closely with Assistant Director of Library Facilities & Operations, the IT@DU Digital Media Services Department, the University Libraries, the Anderson Academic Commons Partners, and the University community to coordinate events ensuring that events fall within the scope of Anderson Academic Commons and University event policies.
  • Maintains weekly and monthly activities calendar and updates Live25 calendar as required, auditing upcoming reservations and facilitates communication across Anderson Academic Commons regarding events; assists with gathering data related to AAC space usage; coordinates permissions in 25Live for University Libraries and communicates technical issues to staff and Conference and Events Services.
  • Assists with the day to day facilities activities of the Anderson Academic Commons by coordinating with the University Libraries administrative unit to initiate facilities requests and work order processing; maintenance of furniture inventory; coordination of furniture and office moves; management of security access of both internal and external doors; communicates with facilities and custodial services regarding facility issues.
  • Assists University Libraries administrative unit by establishing emergency response needs, and various issues that arise related to facilities and scheduling. Troubleshoots, and responds to emergencies and problems ensuring incidents are managed according to the emergency procedures plan. Participates in emergency planning procedures, working in conjunction with the Emergency Planning Committee and the University Department of Campus Safety regarding emergency preparedness and response which include fire drills, trainings, and inspections.
  • Participates as a member of several University Libraries advisory committees, such as the Emergency Planning Committee and the Sustainability Committee.
  • Manages a group of non-benefitted hourly or student staff to assist in building maintenance, event conversions, and data collection and analysis.

  • Strong verbal and interpersonal communication skills; interaction across multiple organizational levels.
  • Ability to communicate with diplomacy and tact, both in person and on the telephone.
  • Ability to prioritize, troubleshoot, organize work, set priorities and develop possible solutions for problems.
  • Ability to perform well under pressure and be able to change behavior in relation to others actions.
  • Ability to multi-task and balance a variety of projects.
  • Ability to coordinate tasks and keep track of details and deadlines.
  • Ability to work independently.

Required Qualifications

  • High school diploma or equivalency.
  • Prior office experience with strong customer service skills.
  • Demonstrated organizational skills with an emphasis on prioritization and time-management.
  • Familiarity with Microsoft Office (Word & Excel) and other computer applications.

Preferred Qualifications

  • Bachelor's degree.
  • Knowledge of 25Live or event management software.
  • Experience with statistics and data tracking.
  • Experience working in an Academic environment.
  • Prior work experience in facilities management or event coordination.
  • Knowledge of emergency response preparedness procedures and planning.

Work Schedule

Monday - Friday, 8:00 a.m. - 4:30 p.m. Evenings and weekends as required.
