Position Summary

Big Bend Community College invites applications for an Alumni & Development Coordinator (Program Coordinator) in the college's Foundation Office. The Alumni & Development Coordinator position is responsible for planning and implementing programs, projects, and events that strategically engage alumni in order to strengthen programs and provide tangible benefits to both alumni and current students. 

The position collaborates closely with other departments to create and maintain pathways for alumni participation that advance the goals of Big Bend Community College (BBCC). This position works closely with colleagues to identify, cultivate, solicit, and steward alumni giving and serves as a liaison between the BBCC Foundation Board Alumni Committee and college leadership. Additionally the Alumni & Development Coordinator is charged with identifying prospective donors and funding opportunities and writing grants and proposals. This position is a 30 hour per week position and reports to the Executive Director of the BBCC Foundation.

BBCC is a small rural community college located in the sunny, central part of Washington State, and is accredited by the Northwest Commission on Colleges and Universities.  Big Bend Community College serves approximately 4,000 students, with an annualized FTE of approximately 2,000, in a 4,600-square-mile service district including 15 communities in Grant and Adams counties and the Odessa School District in Lincoln County with on-site, online instruction, and interactive classrooms.

Essential Job Duties

Responsibilities will include but not be limited to the following:

  • Propose, evaluate, and coordinate the implementation of alumni programs.  Research new acquisition and retention of alumni members; propose a variety of targeted programs including business and industry, teachers, new graduates, colleges/department, etc. Maintain a portfolio prospective alumni members.
  • Maintain tracking and reporting systems to monitor program participation and results.  Ensure accurate and complete alumni database records.  Provide data and progress reporting to the BBCC Foundation Executive Director.
  • Plan, schedule, calendar, coordinate, and promote programs and events for prospective and current alumni members; help with other Foundation events. Evaluate program activities and events and make recommendations for changes and enhancements. 
  • Ensure alumni program needs are met through resource planning, system tracking, and management.
  • Produce and distribute membership materials such as packets, letters, certificates, etc.  Coordinate marketing and communication activities for the program. 
  • Collaborate closely with BBCC Foundation staff and other colleagues to increase support from alumni and donors, routinely identify prospects for mid-level gifts, and communicate development-related activities with the BBCC Foundation Executive Director.
  • Establish and build relationships with a wide-range of alumni, locally, regionally, and nationally and maintain regular communication with alumni via direct contact, email, social media, alumni web pages, and print publications.
  • Provide guidance to and work closely with the BBCC Foundation Board Alumni Committee and volunteers; arrange meetings, and ensure strong and productive relationships between  members and college leadership.
  • Foster productive relationships with volunteers and develop opportunities for volunteer growth and leadership.
  • Educate graduating students about alumni benefits and engage them in programs.
  • Work closely with the BBCC Foundation Executive Director to coordinate efforts related to donor/prospect visits. 
  • Assist with Capital Campaign including making appointments, data entry, and newsletter updates.
  • Support the BBCC Foundation's grant proposals to include identifying funding opportunities, preparation and submission of grant proposals and documents.
  • Supports the BBCC Foundation's special projects, as needed.
  • Perform other duties and responsibilities as requested by the supervisor.

DUTIES OF THE POSITION REQUIRE EXPERIENCE AND KNOWLEDGE IN:

  • Knowledge of personal computers with standard business software including Microsoft Word and Excel as well as constituent/client database programs.
  • Webpage creation and maintenance using software such as Word Press.
  • Organizing work and maintaining detailed files and records.
  • Oral communication skills including presenting to the public and the campus community.
  • Written communication skills including copywriting, proofreading, spelling, editorial work, and a working knowledge of business English.

DUTIES OF THE POSITION REQUIRE THE ABILITY TO:

  • Work and communicate effectively, orally and in writing, with a broad range of internal and external stakeholders including faculty, staff, students, alumni, parents, volunteers, and friends of the college. 
  • Work independently while giving equal attention to promoting and contributing to a team environment.  Regular and consistent attendance is expected and required.
  • Complete and manage multiple tasks with close attention to detail and prioritization to meet deadlines.
  • Display a solutions-oriented approach to problem-solving.
  • Build positive relationships with students, staff, alumni, volunteers, community members, and others.   
  • Relate and work with a diverse community of donors, alumni, partners, faculty, staff, students, and leaders. 
  • Work with confidential records and/or information.
  • Work flexible hours to meet the needs of the program, to include travel and evening and/or weekend meetings as requested. 
  • Provide excellent customer service in a multicultural environment.
  • Develop, implement, and maintain programs and activities that support the goals of the department.

REQUIRED WORK SCHEDULE AND WORK ENVIRONMENT:
This is a 30 hour per week, Monday through Friday position.  Work may be performed in an office setting utilizing a computer and keyboard or off-campus working with students, staff, alumni, volunteers, and community members.  Normal working hours are Monday through Friday 8:00am to 2:30pm.  However, hours may be adjusted based upon college needs.  Frequent use of the telephone required.

 

 

Minimum & Desirable Qualifications

MINIMUM QUALIFICATIONS:
 At the time of application, all candidates must possess the following:

  • Associate's degree from a regionally accredited institution or equivalent combination of education and experience.
  • Two (2) years of related work experience in project management, event coordination, or marketing.
  • Previous experience working with individuals from diverse academic, age, socioeconomic, cultural, disability, and ethic backgrounds.

 DESIRABLE QUALIFICATIONS:

  • Bachelor's degree from a regionally accredited institution. 
  • Experience with social media platforms and/or website/webpage development and maintenance.
  • Experience in communications, copy writing, editing, or public relations.
  • Fundraising experience.
  • Bilingual fluency English/Spanish.
