POSITION OBJECTIVE

The Program Manager oversees and performs diverse, complex management duties to establish and help oversee the CCI Community Health Programs. As a member of the CCI team, the manager will work with the CCI Project Director and in coordination with state agencies, project teams, partners, and clinical care sites. The manager works under the direction of the CCI projects team leadership at Case Western Reserve School of Medicine, with multiple project teams at CWRU, and project partners throughout the region and state. The manager develops and manages project timelines and budgets across assigned project teams and is responsible for implementing the scope of work, deliverables, and activities for the programs, including work plans, data and evaluation, Project ECHO clinics, schedules, tasks, resources, project meetings, and reports. The manager will work daily with senior leadership overseeing the CCI community health program and project teams, including principal investigators, managers, members, and consultants.

ESSENTIAL FUNCTIONS

Plan and oversee project timelines and scopes of work in conjunction with the community health leadership teams, central teams and project teams, and partners, including vendors, consultants, and advisors. (50%)

Lead and manage virtual and in-person team meetings at Case Western Reserve University and plan, schedule and attend project team meetings as required to ensure deliverables and timelines are achieved. (15%)

Lead and coordinate planning and implementation of required virtual meetings and webinars, including Project ECHO clinics, special events, etc. to support the community health projects at CWRU School of Medicine. (10%)

Develop and monitor grant budgets, expenditures, and overall budget performance and reporting requirements; execute grant reports and budget revisions as needed. Ensure compliance with all grant-related policies and regulations including proper documentation, reporting and invoicing, and timely communication with the sponsor; track and monitor revenue and expense budgets; and prepare financial analyses and reports as required. (10%)

Responsible for day-to-day oversight and operations of projects including internal/external/web-based systems, personnel, administrative, and budgetary. (5%)

Work in coordination with the School of Medicine’s marketing and communications to promote and disseminate products and resources developed by the CWRU projects. (5%)

Participate in national, state, and community meetings, conferences, committees, and task forces as required; work in conjunction with appropriate department operations and Research Administration at the university. (5%)

NONESSENTIAL FUNCTIONS

Attend university training sessions to keep up to date with policies and procedures. Encourage staff to attend as well. Identify training and educational resources, in the School of Medicine, the University and elsewhere for all departmental staff. (<1%)

Perform other duties as assigned. (<1%)

CONTACTS

Department: Contact with all levels of departmental faculty, staff to maintain workflow.

University: Regular contact with the Office of the Vice Dean for Translational Research Office, government relations, and communications to exchange information.

External: Daily contact with partners, government leadership, and other private and non-profit entities. Contact with contractors, outside vendors, and distributors of products.

Students: Little or no contact with students.

SUPERVISORY RESPONSIBILITY

Directly supervise program staff.

QUALIFICATIONS

Education/Experience: Bachelor's degree and 5 years of related experience OR Master's degree and 3 years of related experience.

REQUIRED SKILLS

  1. Program management experience in a nonprofit or similar organization. Experience/familiarity with web-based platforms for team-based learning. Work experience in health care or academic medicine preferred. Experience with fund development and grants management (including operations, financial, and regulatory) preferred.
  2. Ability to collect, use and interpret data to measure outcomes and evaluate success
  3. Experience with development, oversight and management of multi-million dollar operating and programmatic budgets and operations
  4. Business acumen and experience in the areas of fiscal management, budgeting, and operations
  5. Commitment to and skill with community involvement and engagement, and collaboration with other organizations and partners
  6. Strong written and oral communication skills; proven track record of using positive communication skills to maintain and build internal and external relationships
  7. Experience completing literature reviews of peer-reviewed and other academic literature to compile and synthesize complex data and content for multiple audiences
  8. Familiarity with academic research and quality improvement initiatives
  9. Knowledge of health care and medical terminology preferred
  10. Experience developing and implementing communications and marketing materials/content to promote and disseminate information to multiple audiences
  11. Strong leadership, organizational, administrative, and interpersonal skills, including an ability to interact well with faculty, staff, and government and leadership, including community stakeholders
  12. Fiscal management skills
  13. High degree of integrity
  14. Flexible, creative problem solver able to thrive in an ever-changing environment
  15. Use of basic computer technology and familiarity with social media/networking
  16. Knowledge and experience working with databases; ability to effectively manage information systems
  17. Ability to manage and meet deadlines and perform multiple tasks at once
  18. Demonstrated proficiency in Windows and Microsoft Office Suite (Word, PowerPoint and Excel)
  19. Experience with database development, management and maintenance

WORKING CONDITIONS

May be required to work evenings and weekends. Some local and statewide travel required. Typical office environment.
