DepartmentThis position has two distinct roles – one in supporting the Language and Literacies Education program (LLE) and the connected Centre for Educational Research on Languages and Literacies (CERLL), and the other as a financial assistant in the Department of Curriculum, Teaching and Learning, under the supervision of the Manager, Finance and Administration. As support to the program/centre, and under the general direction of the Coordinator Language and Literacies Education (LLE) and Centre Head, Centre for Educational Research on Languages and Literacies (CERLL), the Program Assistant is the key point of contact for graduate students in the program from “admission to graduation”. In this role, the Assistant assists in the coordination and dissemination of information to graduate students such as program requirements and degree regulations (i.e., degree timelines, program options, general graduate information, etc.) and acts independently to provide program support to faculty. The assistant enhances communication by assisting with the coordination of program meetings, events and conference and develops student community building in LLE/CERLL by disseminating information to students about relevant awards, activities, services, job postings and conferences, etc. The position responsibilities also include managing the assigned finances under the direction of the Manager, Finance and Administration, and working collaboratively with the Finance Assistant. Financial responsibilities include monitoring operating and research grant budgets, processing expense reimbursements and invoices, preparing travel authorizations, basic reporting, contracts and timesheets for casuals, debit memos, forecasting and other financial duties.


CampusEducation:
Ontario College Advanced Diploma or equivalent combination of education and experience.

Experience:
A minimum of three years of solid experience in high-level administrative procedures and financial accounting preferably in an educational environment. Knowledge of U of T policies and procedures required. Well-developed computer skills with a demonstrated working knowledge of MS Excel, Word and Access. Experience in the financial services area in an academic environment would be an asset. Working knowledge of the University’s Administrative Management System (AMS) particularly in FIS and HRIS.

Skills:
Excellent interpersonal and organizational skills; time management and project management skills; ability to interact with people in a tactful, professional and diplomatic way; demonstrated ability to set priorities and to handle a variety of tasks simultaneously; proven accuracy and attention to detail; good planning skills and problem-solving skills are essential to succeed in this position. Organize and manage a high volume of financial paperwork. Demonstrated knowledge of basic accounting principles and procedures. Able to learn quickly; sound written and verbal communication skills; good analytical skills; numerical aptitude; analytical ability; strong customer service orientation; initiative; tact and ability to work well independently and as part of a team under pressure. Understanding of UofT Policies and financial business practices and policies.

Other:
Proficiency using computing equipment, wide variety of programs involving databases, word processing, web design, multimedia publishing. Understanding of SGS, UofT Policies and HR and financial business practices and policies. Ability to multitask and coordinate a variety of functions is essential for this position.
