Starting Salary: $4,659.74 (per month) plus benefits; Salary Grade: C1-48
Full Salary Range: $4,6593.74 - $6,241.09 (per month)
NOTE: The salary advertised with this position is based on the 2017-2018 salary schedule. Effective July 1, 2018 through June 30, 2019, the position will receive an additional temporary 5% increase. On July 1, 2019 salaries will revert to the 2017-2018 salary schedule unless another agreement is reached.

JOB SUMMARY:
This position will report to the Bookstore Director and oversee all bookstore and print shop cash handling procedures. The incumbent will be responsible for reconciliation of daily cash and credit card sales; cash will need to be counted, prepared and bagged for the armored transport company for pick up; bills and coins need to be ordered daily from the bank using the bank’s telephone ordering system; the safe is required to be balanced with imbalances logged daily; accounts receivable and outstanding Pell Grants need to be reconciled at the end of the month; and the use point of sale system (such as Missouri Book System) with the ability to produce appropriate account receivable reports as needed. Expectation of excellent customer service with the ability to diffuse difficult customer issues. This position will supervise and train up to sixty (60) student workers per quarter and will be required to work as a cashier and step in for student workers who are absent.

DEFINITION:
Under the direction of an assigned administrator, plan, organize and oversee the day-to-day activities of Cashiering Services. Provide technical cashiering expertise, identify technical problems and perform various cashiering and accounting duties; review requests for refunds; train and provide work direction and guidance to assigned personnel; assist managers with a broad range of reports, schedules and activities. Perform cashiering services with college-wide accountability.

EXAMPLE OF DUTIES AND RESPONSIBILITIES:
Depending upon assignment, duties may include, but are not limited to, the following:

  1. Plan, organize and oversee the day-to-day activities of Cashiering Services.
  2. Provide technical direction and information on issues pertaining to the interpretation of cashiering guidelines and policies; research, interpret and clarify policies as requested.
  3. Serve as technical resource for cashiers on an ongoing basis, and assist with questions and problem-solving at the cashier desk.
  4. Oversee the collection and security of enrollment fees and other monies according to established procedures; utilize appropriate billing and receivables system and student information system to reconcile, track, and research accounts.
  5. Review electronic cashiering transactions to ensure system capture and accuracy. Identify problems and refer issues to appropriate department or individual.
  6. Convey District, college and department policies and procedures as needed to staff and customers; serve as primary contact for cashiering services; resolve issues and exchange information.
  7. Facilitate cashiering services, including billings, collections, deposits, reconciliations and other activities; oversee the posting of student accounts.
  8. Reconcile daily cashier sales reports, bank deposits and electronic charges and transactions.
  9. Analyze student refund requests; determine eligibility and amount of refunds; request, reconcile and monitor refund monies; audit and research student accounts and calculate ending balances; resolve formal disputes according to established procedures.
  10. Perform a variety of complex administrative and program support activities; develop and analyze data; carry out complete segments for cashiering services; implement and oversee cashiering processes or task elements;
  11. Train and provide work direction and guidance to assigned personnel.
  12. Monitor and update the Third Party Billing (TPB) system; assure procedures are followed by TPB users; assure accuracy of payments of government-funded grants to student accounts.
  13. Accumulate, review, present and follow-up on billing to various outside agencies.
  14. Set up and operate cash register; collect monies for a variety of purposes, student activities and other District program fees.
  15. Operate a variety of machines and equipment including credit card authorization machine; operate a computer and other office machines as assigned.
  16. Prepare and maintain a variety of records and reports. Serve as resource to others for data, research, special projects, schedules and other information pertaining to assigned area.
  17. Attend a variety of meetings in support of Cashiering Services.
  18. Perform related duties as assigned.

  2. Perform various cashiering and accounting duties including identifying transaction errors and working with appropriate departments and individuals to resolve issues.
  3. Review student refund requests.
  4. Train and provide work direction and guidance to assigned personnel.
  5. Make arithmetic computations with speed and accuracy.
  6. Maintain records and prepare reports.
  7. Operate a computer, cash register and other equipment.
  8. Plan and organize work.
  9. Establish and maintain cooperative and effective working relationships with others.
  10. Communicate effectively both orally and in writing.
  11. Work independently with little direction.

Physical Abilities:

  1. Hearing and speaking to exchange information in person and/or on the telephone.
  2. Dexterity of hands and fingers to operate a computer keyboard.
  3. Sight to view computer monitor and read various materials.
  4. Regularly stand, walk, and sit for extended periods of time.
  5. Lift light to moderate objects up to 30 lbs.

MINIMUM QUALIFICATIONS:

  1. Understanding of, sensitivity to, and respect for the diverse academic, socio-economic, ethnic, religious, and cultural backgrounds, disability, and sexual orientation of community college students, faculty and staff.
  2. Any combination equivalent to an Associate’s degree and college-level course work in related field AND two (2) years general cashier experience.

License or Certification

  1. Possession of a valid class C California driver’s license.

CONDITIONS OF EMPLOYMENT:
Position: Full-Time, Permanent, 12-months per year
Starting date: As soon as possible upon completion of the search process.
Work Schedule: Monday – Friday, 6:30AM – 3:00PM and the first Saturday of each quarter. Additional hours may be needed during the first two (2) weeks of the quarter to support high volume business.
