Job Details
The Project Planner will be an integral member of the Marketing and Creative Services team within the Middlebury Office of Communications. Working within a fast-paced environment at a premier institution, the Project Planner will work closely with clients across the institution and be a part of an innovative team comprised of an award-winning design and editorial staff. The Project Planner will lead projects and work directly with the VP of Marketing and Creative Director to ensure that projects are produced efficiently and on deadline; that they meet the high standards of the institution; and that they are executed to the satisfaction of the client. The successful candidate will have project management experience and/or PM training/certification, ideally from a creative or publishing organization; strong collaboration and negotiation skills and excellent attention to detail. This individual must be able to effectively manage client relationships with diplomacy and tact. The Project Planner will scope, schedule, maintain and archive projects within our online project management system and may be involved with archiving of photos and other digital content.
Responsibilities Essential FunctionsOffer is contingent upon successful completion of a criminal background check.
Earliest anticipated start date is June 1, 2019.
- Collaborate directly with clients on requests and ensure that all information is received before the project is initiated. Schedule and lead project scoping meetings, build project schedules with tasks and timelines.
- Ensure that all project request documents are posted to the department’s online project management system. Check schedules daily to make sure deadlines are being met internally and externally.
- Collaborate with VP of Marketing and Creative Director to assign project teams that most effectively meet the client’s needs and contribute to achieving the institution’s strategic goals.
- Responsible for obtaining cost projections from vendors and working with graphic and digital designers, digital producers, print vendors, and print shop to make sure deadlines are met, proofs are reviewed and final product is delivered on time.
- Work with mailing services to make sure all pieces meet current postal requirements prior to design phase.
- Provide ongoing project management expertise and support as needed.
- Perform other related duties as needed.
- Bachelor’s degree in an appropriate field.
- Project management training and/or certification.
Advanced computer skills required in the following programs: Microsoft Office (Word, Excel), Outlook, and Basecamp preferred. - Must have excellent writing, organizational, interpersonal, and communication skills.
- Must be able to prioritize essential tasks, have initiative, and good decision-making skills.
- Attention to detail and organized.
- Able and willing to manage multiple tasks and projects.
- Handles confidential matters with complete discretion.
- Strong written and oral communication skills.
- Excellent interpersonal skills including the ability to work successfully with colleagues, and administrators.
- Comfortable working in a dynamic digital and print environment; adaptable to change.
- Confident, professional, energetic, and self-motivated.
- Experience in project management in a creative environment.
- Experience working with print vendors, coordinating mailings and managing freelancers.
- Experience navigating many different work styles in order to create highly effective environments.
