DESCRIPTION

As part of the only academic health system in San Diego, the Cardiovascular Institute at UC San Diego Health is a hub of discovery and innovation. Our physicians and researchers are on the front lines of fighting heart and vascular diseases — at patient bedsides, in the research lab, and in our community. The technologies, techniques and treatments we develop are setting standards in cardiac care.

The Executive Assistant will provide administrative oversight for one or two executives, including the coordination of communications and pertinent data among a group of the executives' management staff. Performs and/or oversees special projects or assignments that are highly sensitive or complex in nature, requiring a high level of independence and initiative in execution and implementation. Handles details and oversees work of a highly confidential and critical nature to support the executive on matters of significance.

Provides leadership and professional expertise for units at the highest levels of administration at the University; must provide support to a direct report of the senior leadership and perform the following: develops and administers systems for managing information, projects and communications throughout unit; functions with a high degree of autonomy. Significant barriers to entry exist at this level (e.g., may require senior leaderships' approval).

MINIMUM QUALIFICATIONS
  • A Bachelor's Degree in a related area; or equivalent combination of experience/training.

  • A minimum three (3+) or more years of relevant administrative support experience.

  • Professional experience providing complex administrative support to high-level executive(s).

  • Demonstrated experience managing complex executive calendars and scheduling meetings.

  • Expert level MS Office Suite (Word, Excel, PowerPoint, and Outlook).

  • High level of proficiency composing, editing, and finalizing complex business correspondence, summaries, and reports.

  • Exceptional communication abilities, both verbal and written.

PREFERRED QUALIFICATIONS
  • Experience within a Healthcare organization.
  • Experience supporting C-Level executives.
SPECIAL CONDITIONS
  • Must be able to work various hours and locations based on business needs.
