Administrative Specialist - Red House/Baker Trust

Requirements

The Administrative Specialist coordinates daily functions of the two complementary units in the Red House and the Baker Trust for Transformational Learning. S/he works collaboratively with the Red House and Baker Trust teams to complete core administrative functions for the unit, acting as the primary line of both internal and external communications for the Red House. Under direct supervision of the Senior Program Manager, the Administrative Specialist has duties that include but are not limited to:

HR and Finance
  • Complete routine HR paperwork including Hoya Hiring Forms, additional compensation forms, and faculty appointments.
  • Process reimbursements, honoraria, contract requests, and internal journal transfers.
  • Maintain Procard for Red House use, ensuring that the team is following financial policies.

Daily Operations
  • Schedule meetings, coordinate agendas, and prepare material, ordering supplies and managing requests to use space when needed.
  • Manage facilities and maintenance requests.
  • Assist and carry out event planning and coordination.

Communications Support
  • Maintain and update the Red House websites, blog, and social media pages.
  • Create and distribute Red House Student Network newsletter.
  • Manage incoming email to Red House inbox.
  • Draft letters and memos for the Red House and Baker Trust staff.

Logistical Support
  • Assist with the development and production of Future(s) Advisory Committee materials.
  • Maintain and assist with UNXD course catalog and the schedule of classes (course evaluations, classroom requests, communication with registrar's office).
  • On-board all new faculty into the program.

Qualifications
  • Bachelors degree
  • Experience Microsoft Word and Excel
  • Literacy with Wordpress, social media, and email newsletter management
  • Excellent verbal and written communication skills
  • Ability to work collaboratively with university students, staff, faculty, leadership and external partners
  • Proven organizational skills
  • Ability to take initiative and work under minimal supervision
  • High level of attention to detail
  • Interest in innovation and equity issues in higher education landscape preferred
