The College and the District

College of San Mateo, which was designated as a Hispanic Serving Institution in 2014, is part of the San Mateo County Community College District, which currently enrolls approximately 23,000 students, the majority of whom are from minoritized populations. Of the students at College of San Mateo, 3.0% are African-American, 0.1% are American Indian, 19.8% are Asian, 6.8% are Filipino, 19.9% are Latinx, 2.2% are Pacific Islander, 28.1% are White, 17.6% are Multi-Ethnic, and 2.5% are unknown.

The Position

Under direction, the Program Services Coordinator (PSC), Career Services is part of the Counseling Division student success team. The PSC assists in the planning, coordination, and implementation of matriculation and career services such as, but not limited to, special events and activities that support career awareness, college major selection, and student employment; maintaining a library of materials and online resources related to career awareness and educational development; work with students individually and in workshop groups to assist students who are undecided about educational goals and major course of study; work with students individually and in workshop groups to assist students with job search strategies and techniques; oversee the job listing program to support student employment; provide career and job search services to college workforce development programs; provide job skills assessments; and provide other services and activities that support career awareness related to educational goals; provide back up for other matriculation activities as needed. Public contact is extensive and can include students, staff, other educational institutions, community and business representatives, governmental agencies and the general public, for the purpose of exchanging program information and services. A high degree of judgement and the ability to work both independently and as a member of a team is required to adequately represent the college, the Division and the program. The PSC is responsible for designing program components and services. Consequences of errors in judgment can be costly in public relations and in employee time; however, management controls limit the risk of more serious consequences. Because services need to be available to evening students, the work schedule will include at least one day with hours into the evening. The PSC can lead the work of student assistants, proctors, and other staff as assigned.

Duties and Responsibilities

The duties below are representative of the duties of the classification and are not intended to cover all of the duties performed by the incumbent(s) of any particular position. 1. Exchanges information with students, staff, other educational institutions, community and business representatives, vendors, governmental agencies and the general public regarding a variety of college programs, services, eligibility requirements, policies, timelines, required forms and other information

2. Makes presentations and develops and conducts workshops to small and large groups as a program and college representative

3. Participates in planning and implementation meetings with college and outside groups and representatives

4. Plans, coordinates, and participates in career events, including job fairs, major days, career exploration days, and other matriculation activities and initiatives

5. Develops a resource center that includes up to date materials and online support for career exploration and job search efforts

6. Works directly with College Workforce Development programs to support career development

7. Coordinates logistics and establishes timelines, required materials, online support services, facilities, publicity, and other program and event needs

8. Plans joint events with other college departments and programs, and with outside business and community representatives

9. Serves as liaison between student program participants and various instructional and student services departments

10. Interprets language on student forms and printed information

11. Refers students to community, business, governmental, and other resources

12. Conducts follow-up to determine student needs and available program services

13. Directs and coordinates the work of student assistants, test proctors, and other staff as assigned

14. Assists students in determining existing job skills and the skill requirements of various career opportunities

15. Coordinates the administration of career assessments and diagnostic surveys

16. Meets with potential employers to identify current and future job placement opportunities, and to develop and modify jobs to provide suitable employment for students and other program participants

17. Coordinates introductions and follow-up for student job placements

18. Refers students to career and other counselors, support services, instructional programs, and to other college offices as appropriate

19. Researches and compiles statistical, narrative, financial, demographic and other data for regular and special reports to track program participation, recruitment effectiveness, student follow-up, retention and transfer rates, program evaluation criteria, career resources and job availability, employer profiles, and other information

20. Enters, modifies, and retrieves online data

21. Uses a variety of software to compose, format and prepare correspondence, memoranda, publicity materials, surveys, brochures, flyers, bulletins, reports, presentations, and other materials

22. Sets up and maintains confidential and other files

23. Plans and coordinates lay-out, graphics, photography and other artwork, editing, printing, multimedia enhancements, web page information, distribution and other services in conjunction with other staff, students and/or vendors as appropriate

24. Performs other related duties as assigned

Minimum Qualifications

• A combination of education and experience equivalent to a Bachelor’s degree in business administration, sociology, human resources or a related field

• Successful experience of increasing responsibility in education, social services, human resources or a related area

• Demonstrated cultural competence, sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty, and staff

• Experience with program planning, implementation, and evaluation related to career and job search services

• Experience leading the work of others

• Experience with researching, formatting, assessing and preparing data for reports and other materials

• Experience with the use of a variety of computer software to track and monitor data

• Demonstrated skills in oral and written communication, including public speaking

• Demonstrated skill in multi-tasking, prioritizing workloads, and working independently

• Demonstrated skill in working as part of a customer service team

Knowledge, Skills and Abilities

1. Knowledge of career services and related college services available to students and other potential participants

2. Knowledge of applicable and available community, business, governmental, and educational resources

Physical Requirements

This classification requires sitting for various lengths of time; the ability to type, use phone, occasionally lift, carry, push, pull, or otherwise move objects of light to moderate weight; work at a computer, including viewing a monitor for various lengths of time, repetitive use of keyboard, mouse or other control device, dexterity of hands and fingers to operate keyboard; and ability to operate a motor vehicle and drive to off campus locations in order to perform the essential functions.

Preferred Qualifications Benefits

Benefits include paid holidays, vacation and sick leave. The District pays all or a portion of monthly medical plan premiums (depending on the coverage) and pays all of the monthly dental and vision plan premiums for employees and eligible dependents. Additional paid benefits include life insurance, salary continuance insurance, and an Employee Assistance Program. Classified employees participate in the Public Employees’ Retirement System, a defined-benefit retirement plan through the State of California. Optional tax-deferred 403(b) and 457 retirement plans are also available.
