WVSOM Admissions and Student Recruitment

Summary: Under the direction of the Vice President for Academic Affairs/Dean, the Director of Admissions oversees student recruitment and the admissions process for the West Virginia School of Osteopathic Medicine.  This position has the principle responsibility for leadership and management of all phases of the admission process, including the development and implementation of the annual recruitment plan.  This position also leads and manages all personnel within the Admissions and Student Recruitment process. 

General Duties and Responsibilities

  • Implement and coordinate the overall activities relating to the Admissions Office including a comprehensive recruiting plan, processing and evaluating applications, determining applicant eligibility, participating in the interview process, verifying completion of the applicants file and informing the applicant of any deficiencies.
  • Participate in the Admissions Committee meetings, provide admission materials on candidates to committee members; plan and coordinate training for committee members and others, and serve as liaison between the committee and the Vice President for Academic Affairs and Dean.
  • Creates and implements the Admissions Department communication plan.  The Director works with the Admissions Counselor Senior to implement virtual recruitment, social media, text messaging, calling campaigns, and other recruitment events as needed.
  • Coordinate all follow-up correspondence to admitted students in relation to their status, making recommendations to prospective students on admission policies, program offerings, and evaluating undergraduate transcripts.
  • Coordinate and monitor the application flow, acceptance rate, deposits, and withdrawal rate throughout the admission cycle and regularly supply statistical reports to the appropriate offices.
  • Serve as the primary institution representative to the American Association of Colleges and Osteopathic Medicine application service (AACOMAS).
  • Represent WVSOM as a voting member on the Council of Osteopathic Medicine Admissions Officers (COMAO) at the American Association of Colleges of Osteopathic Medicine (AACOM).  Attend two COMAO meetings yearly. 
  • Represent the Admissions Office as a member of the state and national Association of Collegiate Registrars and Admissions Officers (ACRAO); the American Association of Colleges of Osteopathic Medicine (AACOM); and the National Association of Advisors for the Health Professions (NAAHP).
  • Oversee on-campus admission functions as needed, including the Health Profession Advisors Conference and Open Houses.
  • Represent WVSOM on a national basis, including oversight of any off-campus events sponsored by WVSOM. This position will involve travel and planning for various recruiting and marketing events.
  • Develop and execute strategic planning goals relating to admissions, including long range planning efforts and budgetary implications.
  • Supervise and evaluate Admissions Department staff and carry out supervisory responsibilities in accordance with the State’s policies, institutional guidelines, and applicable laws.
  • Assume primary responsibility for the admissions and recruitment budgets to include all purchases, travel, printing and promotional expenses.
  • Oversee printing and distribution of recruiting brochures and publications, working closely with the appropriate department; also assist with the production of the college catalog and viewbook.
  • Support and recommend new policies to the institution that apply to admissions and recruitment.
  • Manage and assist with the development of all procedures and policies for transition of data throughout the electronic process, and ensure smooth integration through all the school’s data management systems.  This includes oversight of Banner (WVSOM’s student information database) and downloads from AACOMAS and Liaison.
  • Serve as the WVSOM Coordinator for new partnerships.
  • Serve on institutional committees as assigned by the Vice-President for Academic Affairs and Dean.
  • Attend monthly meeting for President’s Forum and Board of Governors.
  • Other related duties as assigned

Knowledge, Skills and Abilities

  • Strong background in higher education and the admissions process in a college or university setting;
  • Ability to interpret policy and procedures in accordance with the institution’s policies and procedures using professional judgment;
  • Ability to use and or learn application software necessary to the admissions process;
  • Exemplary customer service and interpersonal skills to interact with a diverse group of individuals;
  • Demonstrated project management skills with the ability to manage multiple priorities and challenging deadlines;
  • Excellent oral and written communications skills to communicate clearly and concisely with a broad and diverse group of individuals, this includes social media and virtual interactions;
  • Demonstrated ability to work independently and exercise sound judgment;
  • Proficient knowledge of Microsoft Office products, and proficiency with computer databases;
  • Familiarity/experience working with sensitive personal information, including FERPA.
  • Proven ability to deal tactfully and effectively with students, faculty, staff, alumni, statewide campus personnel, public officials, business community, volunteers and community leaders.  

Education and Experience

PhD in Education or related field, plus 2 years of recent and related experience; or Master’s Degree in Education or related field, plus to four to six years of recent and related experience – experience working in higher education is required. An equivalent combination of relevant and recent experience and training which provides the required knowledge, skills and abilities may be considered.

Required Licenses/Certifications

This position requires the candidate to have a valid and current driver’s license, as regular travel is required.


Position

This position will be a full-time, non-classified position with full state benefits and is exempt from FLSA provisions regarding overtime.  Salary commensurate with education and experience.  This position will receive moving expenses.  Not all activities of this position occur within the confines of an 8:00-4:30 schedule and will require regular evening and weekend scheduling. Travel including overnight travel is required.  This position has been designated as essential. This means that when WVSOM is faced with an institutional emergency, employees in such positions may be required to remain at their work location or to report to work to protect, recover and continue operations at WVSOM.
