With more than $1 billion in assets, a large portion of which is endowed, the foundation provides an average of more than $65 million annually to UGA to advance its mission of teaching, research and public service.
The foundation was established in 1937. As a steward of donor funds, the foundation has a strong record of fiscal and financial management. Mission of the University of Georgia Foundation
The mission and purpose of the University of Georgia Foundation is to provide support for the teaching, research, public service and outreach programs of the University of Georgia by means of volunteer leadership and assistance in development and fundraising activities; fiduciary care for the assets of the foundation for the long-term benefit and enhancement of the university; and broad advice, consultation and support to the president of the university. The foundation shall operate as a cooperative organization in accordance with policies of the University System of Georgia Board of Regents.

Position Summary

Reporting to the Expenditure Control Manager within Expenditure Control, this position is responsible for analyzing, reconciling, and recording expense transactions. A thorough understanding of policies and procedures is necessary. The incumbent will serve as backup to the Expenditure Control Manager within the department and is expected to have demonstrated adherence to confidentiality, ability to demonstrate high standards of professionalism, initiative, critical thinking, good judgment, consistency of output, timeliness of follow-through, and ability to prioritize. The position will assist with follow-up and customer service efforts addressing workflow activity that is time sensitive and have a higher degree of complexity than normal.

Responsible for the review of UGA Foundation check requests. This review includes verifying that policies and procedures are met, proper forms and signatures are included, fund purpose is followed and special payments codes are applied.

Responsible for proper use of codes used for cash advances, pre-payments, awards, contracts, honoraria’s, reimbursable expenses, taxable fringe, use tax, equipment, arts, related entity transfers, gifts, tickets, memberships, dues, moving and relocation expenses and payments to resident aliens.

Prepare a monthly review of expenditures which qualify as a fringe benefit. This includes: Moving and Relocations, Key employee social dues and car allowances, civic dues, athletic ticket usage, sky suite usage, other ticket usage, gifts, visa’s non-employee spousal travel and other applicable fringe benefit expenses.

Review all scholarship check requests for compliance with trust agreement. Communicate with the Office of Student Financial Aid, Student Accounts and UGA departments.

Prepare and initiate monthly scholarship payments, Charter and National Merit transfers.

Submits the monthly reporting for sales and use taxes for the UGA Foundation.

Assist in reviewing and approving internal transfers and other like transactions.

Assists AP Manager with follow-up and customer service efforts to campus departments that are time sensitive and have a higher degree of complexity than normal including, but not limited to, providing research analysis for specific situations, assist with the collection and evaluating samples and conditions pertaining to year and interim audits, and the training of users/colleagues on the AP subsystem and expenditure policy and procedures.
