Under general supervision, the Chiropractic Assistant/New Patient Intake Coordinator will be responsible for providing outstanding, excellent and friendly customer service to all patients, student, employees and other members of campus community. The Chiropractic Assistant/New Patient Intake Coordinator is responsible for new patient processing and overall management of the Health Center. Furthermore, the incumbent will be coordinating all aspects of the patient intake process including establishing and maintaining positive relationships with customers and referral sources, responding to customer requests and concerns, and managing the verification and authorization processes.

RESPONSIBILITES

  • Ensure that the campus community receives outstanding service by providing a friendly environment which includes greeting and acknowledging every patient, maintaining outstanding standards, solid knowledge of chiropractic and all other components of Life Chiropractic College West
  • Verify completion of all patient documentation associated with new patient intake and registration according to policy
  • Collect, manager and file all new patient materials and documentation.
  • Verify insurance with patients and other insurance agencies
  • Receive and accurately process all new patient forms in person and online
  • Fast and accurate data entry, Inputting all patient/intern information in system
  • Effectively communicate new patient paper works including fee schedules to new patients.(i.e. cash patient, Medicare, Personal Injury and Workers Compensation)
  • Provide timely responses to all questions and concerns via in person, over the phone and/or email
  • Distribute educational information and materials to patients
  • Abide by HIPAA laws regarding patients information
  • Manage/schedule all new/reoccurring appointments
  • Manage faculty advisor walk in rotations
  • Create and maintain daily new patient log
  • Coordinate quarterly new student physical process (i.e. process all new student paper works, start patient files for new students, and attend the new student physicals if needed)
  • Abide by HIPPA laws regarding confidential patient information
  • Serve with confidentiality
  • Assist cashier and/or receptionist as needed
  • Other duties as required
  • Back up to Manager for the day to day operation
  • Orders, stocks, and maintains adequate inventories of all chiropractic and office supplies
  • Provides coverage as needed or on a regular basis
  • Ensures employees are treated in a fair and equitable manner
  • Complies with all EEO obligations and responsibilities
  • Develop staff through coaching, mentoring, rewarding, training, and guiding
  • Assists all staff in the interpretation of policies and procedures
  • Maintains a broad understanding of the principles of financial management –uses cost-benefit thinking to set priorities

    SKILLS & EXPERIENCE: EDUCATION & TRAINING REQUIREMENTS:

    Education/Experience: Minimum of High School Diploma or equivalent. Bachelor’s degree preferred. 1+ years in a chiropractic or medical office.

    Knowledge: Familiar with HIPPA regulations; Demonstrated knowledge and proficiency in the principles, procedures and best practices related to this position; proficient knowledge of general office equipment such as phones, computers and Microsoft Office Suite (Word, Excel, Power Point);

    Skills/Abilities: Ability to work with confidential material and maintain confidentiality along with sensitivity; Strong verbal and written communication skills; Ability to learn medical and insurance billing software; Ability to work in a fast-paced environment with established time constraints and difficult situations; Ability to be flexible and adaptable to changing priorities and deadlines; Ability to provide outstanding customer service and relationship building skills to the campus community

    WORKING CONDITIONS

  • Work is performed primarily in a standard office environment with extensive contact with the public
  • Shifts are generally Mondays through Fridays 10:00 AM to 6:30 PM
  • May occasionally work weekends as needed
  • PHYSICAL DEMANDS

  • Able to spend long hours sitting, standing, and lifting up to 25 pounds
  • Nature of work requires an ability to operate standard business office equipment
  • Requires ability to communicate and exchange information clearly and concisely.
    • Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information
